The Position Proposition:
The Administrative Assistant WMS is client-facing role that will work closely with crew leads [Foreman], turning in completed work orders and discussing the current workload. This is to gauge when additional work is assigned. Following this, you would begin updating the work orders in trackers, checking material charge outs, and progressing work orders from INPRG and CONCOMP status. Turned-in packets would then be provided to the administrative office. The Administrative Assistant WMS is responsible for managing the North & South-Central work orders, including Two Man Units.
Cultivate relationships with Duke Energy Job Planners, Project Managers, Schedulers, etc.
Manage project assignments based on crew ability and workload.
Maintain detailed updates on all assigned work.
Manage all task INPRG and CONCOMP task progressions.
Coordinate project details, including outage setup, permitting requirements, customer notification, SWRs, etc.
Provide updates and information on conference calls or as requested.
Serve as a central point of contact for all crew foremen and crewmembers.
Record and pull new work daily.
Print, organize, and package pull work.
Propose crew assignments based on the work nature.
Review specific projects and outline a work plan.
Create and file electronic DFRs in advance or as needed by Foremen.
Pull the work diary monthly for workload review.
Knowledge of Maximo is a HUGE Plus.
Educational & Minimum Requirements:
High school diploma or GED is required.
1-2 years of experience in administrative role in the utility industry.
Proficiency in using and MS Office and Maximo.
Experience in supporting project work, scheduling, and handling work orders.
Meticulous attention to detail with strong quantitative and problem-solving acumen.
Excellent written and verbal communication skills.
