Administrative Assistant

Wayne Automatic Fire Sprinklers is looking for a Branch Administrative Assistant in our Tampa FL. branch.

This position reports to the Branch Manager. The ideal candidate should have experience with Microsoft Office, Excel, and Outlook. They should be friendly, organized, professional, and a good communicator. A TEAM player who can work in a fast-paced environment under pressure with a positive attitude, but most importantly, they must CARE!

Day to Day:

  • Answering Phones

  • Opening service calls

  • Processing weekly Payroll & verify all information is correct

  • Process Field Pips

  • Processing Sales Commissions

  • Scheduling Inspections

  • Process dept. Expense reports

  • Process Close Out documents

  • Project Billing (Commercial, Service & Alarms)

  • Generate Lien Waivers

  • Service Invoicing (T&M, Fixed, No bills, Inspection, Monitoring)

  • Monitoring Invoicing

  • Assist with scheduling

  • Sales support- Converting quotes, processing agreements

Qualifications

What are the Qualifications for this position?

  • Minimum 1 year of Administrative Experience in an office environment, preferably in the construction or service industry.

  • Good computer skills and experience with using Microsoft Office, Excel, and Outlook.

  • Must possess the ability to work well under pressure and meet deadlines.

  • Strong communication skills

  • A clean driving record

  • Successful completion of a pre-employment drug test and pre-employment background check screening including 10 years of employment verification is required to be hired at Wayne Automatic.
