Summary Description of Position

This position provides administrative support to the Statewide Transport team in Texas.

Essential Functions

  • Reviews driver freight bills for Statewide Transport drivers and independent haulers on a daily basis for completeness and accuracy.

  • Processes hauler freight bills on a daily basis for payment. Insures haul rates and trucks are accurately tracked (verifying standby), reported, and paid. Uploads weekly MDI report to Corporate for hauler payments.

  • Supports billing/dispatch/sales departments with ticket and freight bill research, as needed.

  • Researched hauler pay and billing issues, as needed.

  • Assists in the development and preparation of department reports as requested.

  • Backup the Transportation Coordinator as needed to cover absences (sick, vacation, etc.).

  • Performs other administrative duties, as assigned.

Education, Experience, Skills Required

Education:

High School diploma is required. Associate or Bachelor's degree preferred but not required.

Experience:

Minimum of two (2) years of administrative support experience in an office/professional environment is required. A background with experience in logistics/transportation is preferred.

Knowledge, Skills, and Abilities:

  • Moderate knowledge of Microsoft Office, including Word and Excel, and the ability to learn and use other software and office equipment as needed to perform job requirements.

  • Strong written and verbal communication and interpersonal skills for effectively dealing with all level within the organization as well as customers and haulers.

  • Strong attention to detail.

  • Strong customer service skills.

  • Good organizational skills and the ability to multi-task.

  • Strong math skills to insure accuracy of calculations of payments.

Summary Description of Position Assist in providing the direction and organization of Statewide trucking operations. Responsible to assist the Terminal Manager in managing the trucking operation that insures the safety and health of all lease operators. Conduct monthly safety meetings. Assist in signing up lease drivers, monitor maintenance records, inspect lease trucks and log books, read, check and order fuel. Set up schedules and check jobsites. Travel to other facilities and accident scenes around the area. Key Responsibility Areas * Set clear expectations with Statewide personnel (company and contract) regarding SHE performance * Make sure all drivers are qualified and that they stay qualified at all times. * Monitor driver records for hours of service, speeding violations on a regular basis. * Assist in signing up and insure operators adhere to the requirements of lease contracts. * Assist in Set up schedule for the following days * Insure that all truck schedules are within DOT regulations. * Insure truck owners/operators are turning in maintenance records on a regular basis for record keeping and that all trucks operating under the Statewide banner are equipped with all necessary SHE materials, to include spill kits, tarps, etc. * Insure all operators are clear as to what is expected of them and their equipment while contracting with Statewide Transport. * Conduct periodic safety meetings and maintain records of same. * Assist in monitoring fuel purchases; insure fuel usage, and ordering fuel as needed by leased trucks to be submitted to accounting. * Assist in inspection of lease trucks and log books. * Check jobsites * Assist in Accident scenes Education, Experience, Skills Required * A college degree in business, logistics or similar is preferred. * Requires knowledge of the Department of Transportation regulations (DOT). * Maintain a good working relation with lease operators. * Maintain good relation with Plant Managers and Ready-Mix Personnel. * Excellent written and verbal communication skills required. * Strong organizational skills are needed. * Must be self-motivated and ability to work with little or no direct supervision. * Bilingual (Spanish) preferred.
