What you'll be doing...

As an Administrative Assistant, you will provide administrative support to four directors on the Corporate Social Responsibility (CSR) team, as well as support for the CSR financial team.

EA Support for CSR Directors (60%)

  • Manage and maintain executive calendars, scheduling meetings with both internal and external stakeholders.

  • Arrange travel and hotel accommodations.

  • Coordinate and submit expense reports.

  • Handle registrations and logistics for conferences and events.

  • Fill in as the EA for the SVP/Chief Corporate Social Responsibility Officer as needed.

Support for CSR Finance Team (30%)

  • Assist with the development of annual budgets.

  • Assist with AP related activities such as invoice processing and vendor setups.

  • Review and approve certain grant requests, ensuring accuracy and compliance.

  • Run routine monthly financial reports.

  • Identify and drive process improvements for financial processes.

  • Create reports for adhoc data requests.

Other CSR departmental admin support (10%)

  • Create onboarding materials and manage the intake of new CSR team members, including procurement of equipment and software.

  • Perform routine administrative functions such as responding to inquiries with standard letters, email, etc.

  • Organize and coordinate office operations/organization; overseeing and managing the provisioning of supplies.

  • Screen telephone calls and greet visitors, handling routine issues and ascertaining who can be redirected to managers or others.

What we're looking for...

You'll need to have:

  • Bachelor's degree or one or more years of work experience in an administrative support role.

Even better if you have:

  • A Degree.

  • Five or more years of experience in an administrative support role.

  • Experience with GSuite and Microsoft Office.

  • Experience with Excel or other spreadsheet tools.

  • Good written and oral communication skills.

  • Experience working in a fast-paced environment.

Position Summary The Senior Administrative Assistant supports the VP of the Oncology and Endocrinology Business Unite; as well as other members of the team as applicable. The Sr. Assistant will be responsible for managing multiple calendars and projects and will have regular interaction with employees of all levels of the Company as well as with external partners. Essential Functions Manage department calendars including individual and group meetings, coordinating facilities (e.g., room reservations, web and conference calls, audio/visual equipment and support and catering); includes actively soliciting input for managing conflicting priorities and pro-actively communicating and solving schedule conflicts. Provide copies of relevant documents other essential information to department team members (and others upon request) prior to meetings. Manage all administrative aspects of assigned projects including the development of a database to track project progress. Under direction of manager, EA is responsible for tracking contract processes including entering the contract into the contract management system, managing invoices and PO process, and ensuring all payments have been made. Provide administrative and word processing support to department team members including: proofreading; editing and/or drafting documents. Produce (in Word and Power Point) and distribute a variety of materials for department use as well as for department and cross functional meetings. Coordinate domestic and international travel for department leaders including: travel logistics (e.g., air, hotel, ground transportation, etc.) in compliance with Ipsen travel policies; preparing detailed itineraries from departure to return; creating and submitting travel expense accounts in Concur for department team leaders; arranging travel for new hires. Manage and coordinate Business Unit's administrative needs including: filing system/records maintenance; department rosters; internal and field calendars; team vacation calendar; and Shipping/receiving. Prioritize incoming communications (mail, email, calls) anticipating and communicating any required actions/deadlines. Complies with all laws, regulations and policies that govern the conduct of Ipsen U.S. staff Education * Associates Degree in Business Administration or related area from accredited college preferred, additional years of experience may be substituted. Bachelor's degree from accredited college or university a plus. Experience Minimum 5 years of administrative experience supporting multiple team members including Executive/VP level.
