Position Description

Advertised Job Summary

Under supervision of the History Department Chair (in partnership with the ISS and HC directors), the Administrative Assistant will staff History's Director of Graduate Studies, Director of Public History, and History Center, with lead responsibility for graduate student record keeping.

This position will also liaise with both CAS and USC communications personnel, creating and posting social media content for HIST, ISS, and HC people and events (Facebook, X, etc.) and updating listservs for each unit. Because we generate both public and campus events, we seek a candidate to keep a master calendar and assist with tasks ranging from scheduling podcast interviews to generating publicity to supporting those organizing the events (scheduling rooms, catering, registration, book distribution etc.).

In addition, we seek applicants interested in developing skills in grant generation who will support our units as we grow our culture of grantsmanship.

Minimum Qualifications

Bachelor's degree and 3 years work experience directly related to the position (communications or grants) or high school diploma + 7 years of relevant work experience.

Preferred Qualifications

Knowledge of university policies and procedures and web-based applications is preferred. It is preferred that the individual possess skills in administrative computing and word processing applications (Microsoft Word, Excel, and Adobe Acrobat). Ability to establish and maintain effective working relationships with students, faculty, and staff. Familiarity with university systems including Banner, Blackboard, Data Warehouse, EAB navigate, Adobe InDesign preferred.

Knowledge/Skills/Abilities

Excellent oral and written communication skills; word processing applications (Microsoft Word, Excel, and Adobe Acrobat), excellent organizational skills. Verifiable evidence of success multitasking; experience as part of a team.

Skill in data management. Strong general office experience. Proven interest in managing publicity via social media and/or grantsmanship.

Undergraduate program administrative support: Supports undergraduate director with assessment and scheduling. Coordinates the end-of-term course evaluation process; maintain course evaluation data and distributes individual course evaluation results to instructors of record. . Assists with undergraduate student awards (nomination and selection). Assists with student orientation and annual career/internship fair.

Essential Function Yes Percentage of Time 25 Job Duty

Graduate program administrative support: supports faculty Graduate Program Director & Director of Public History Program with recruiting, managing applications and admissions, updating Graduate Program Handbook, monitoring graduate student registration, coordinating graduate student visitation weekend, data collection and processing for assessment and reports, and assisting with prospective student open house & new student orientation. Maintains all graduate student files electronically.

Organizes documentation to monitor students' progress toward degree completion in conjunction with Student Services Director & Graduate School. Assists the Student Services Director by monitoring internship opportunities, and assists graduate students with internship applications. Coordinate and process graduate student awards.

Essential Function Yes Percentage of Time 25 Job Duty

Administrative support to the Department staff handles incoming and outgoing postal mail, monitors IT needs and coordinates with CAS IT and UTS. Works with CAS IT & UTS for updates to department website, digital signage, and other forms of outreach.

Manages History, Southern Studies (SOST) & Humanities Collaborative social media & public relations matters. Serves as the liaison with university communications & marketing departments along with other university offices as necessary and applicable. Designs, creates, edit and print promotional flyers for all events for HIST, SOST & Humanities Collab.

Provides clerical assistance to the department as needed. Provides support to the Administrative Coordinator as needed.

Serves as first point of contact for office walk-ins and emails (including faculty, staff, students, alumni and visitors).
