Primary Purpose of the Organizational Unit

The UNCG School of Theatre's mission is to prepare students to be informed theatre practitioners with a commitment to creativity, innovation, inclusion, and the advancement of the art form. The School recognizes the need to move toward creating an actively anti-racist and anti-biased space of creative practice by creating systemic change through workshops, continuing education, and professional development centered around anti-racist practices, theatrical intimacy, and bettering ourselves in service of our diverse and intersectional student body. Our community seeks candidates who are invested in creating communities of practice and care in which access is paramount. We have 17 full-time, professionally active faculty members who serve over 300 students in BA and BFA concentrations and MFA programs in Acting, Design, Music Direction for Musical Theatre, and Theatre for Youth. The School mounts a yearly season of seven to eight plays and musicals, along with student-driven work and other types of performance opportunities. The School of Theatre is committed to creating and developing a diverse, engaged, artistically well-balanced body of future theatre professionals, performers, and teachers.

Position Summary

The primary function of the Administrative Support Associate position is Administrative support for the School of Theatre Director, providing Human Resource support, handling student success including recruitment and enrollment management, and general office management for the School of Theatre.

Minimum Qualifications

HIGH SCHOOL DIPLOMA OR EQUIVALENCY; OR DEMONSTRATED POSSESSION OF THE COMPETENCIES NECESSARY TO PERFORM THE WORK.

Additional Required Certifications, Licensures, and Certificates Preferred Qualifications

1.Two (2) years of Admnistrative Assistant experience in a university setting or professional equivalent.

2.Experieine working in student succes and/or recruitment settings.

3.Experience working with diverse populations.

School of Theatre Administrative Assistant

Essential Tasks

  • Serve as the Administrative Assistant to the School of Theatre Director.

  • Provide support to the School Director by managing their calendar and scheduling meetings, keeping track of deadlines/reminders attending meetings, and recording notes/minutes as assigned.

  • Schedule all PMP annual appraisals with the School Director in coordination with supervisors and schedule workload and Faculty Annual Review meetings with the Director.

  • Update and maintain the contact lists.

  • Provide support related to Alumni engagement and Advancement opportunities.

  • Events Coordination for the School of Theatre which may include UNCG/CVPA open houses, commencement, and other school-wide events.

  • Assist the Director with correspondence as needed.

  • Locate and assemble information for various reports including the review and update to the Instructional Analysis report, support and preparation for reaccreditation, annual HEADS report U/RTA application, and other reports as needed.

Human Resource/Personnel Support

Essential Tasks

  • Work closely in support of search committees in drafting and posting new position announcements. Job search paperwork including posting of ads.

  • Review and help manage itineraries of campus visit interview candidates.

  • Provide onboarding for student employees, new faculty, and staff.

  • Provide School of Theatre directory maintenance and keep the website administrator and theatre manager updated each semester.

  • Departmental support in the Faculty Success/Activity insight program related to both the Director and Peer Review committees' parts of Annual Review, Reappointment, Promotion and Tenure, Post Tenure Review. Manage Class Climate Report for the School which includes uploading Class Climate Report and Classroom Observation Report.

Student Success/Enrollment/Recruitment

Essential Tasks

  • Provide assistance with departmental recruiting efforts. Update the School of Theatre listservs each semester and maintain updates as needed using Banner, Grouper, etc.

  • Provide oversight of course scheduling procedures and deadlines in consultation with the area coordinators.

  • These are to include classroom assignments and graduate student assignments when submitting semester course schedules as per UNCG policy.

  • Work with Argos by pulling data that includes advising codes, class rosters, etc.

  • Handle faculty and graduate student credentialing process.

  • Work with incoming graduate students by providing welcome letters, assisting with the I9 process, office assignments, identifying their coordinators, work sessions, and other miscellaneous new student requirements.

Office Manager

Essential Tasks

  • Serve as the office manager for the School of Theatre.

  • Responsible for ordering office supplies and initiating Facilities and Housekeeping work orders which includes telephones/Teams, office equipment and keys.

  • Oversee accident reports or claims.

  • Serve as the receptionist to the School of Theatre greeting students, faculty/staff, and guests to the school.
