ADMINISTRATIVE ASSISTANTS (PHMSA-19-1905-W):
Bowhead is seeking to network with Administrative Assistants of various levels for potential work in Oklahoma City, OK for the Department of Transportation. This work is pending award and not currently funded but is expected to be awarded in early 2020.
Administrative Assistant IV duties and responsibilities:
Must have at least five (5+) years of experience performing office administration duties with minimal supervision
Must be able to accurately type 35 WPM or above
Must have excellent skills in current Microsoft products such as PowerPoint, Word, Excel, Outlook, Skype, Access, SQL, SharePoint, current web browsers (i.e. Internet Explorer, Google Chrome); must also be proficient in Adobe Acrobat, scheduling and navigating conference applications (i.e. Adobe Connect, PolyCom VTC), automated administrative tracking systems (i.e. travel management, time and attendance) and other work-related data entry systems
Must have familiarity with the Government Style Manual and be able to serve as the subject matter expert in grammar, spelling, punctuation and preparation/proof reading of all standard and executive level office documents
Must have significant experience communicating with individuals of all levels both orally and in writing
Administrative Assistant III duties and responsibilities:
Must have at least three to four (3 to 4) years of experience performing administrative tasks supporting senior-level and office staff
Must have prior experience in office operations and supervising less experienced administrative staff
Must have advanced computer skills and internet research skills
Must have experience with handling confidential matters
Administrative Assistant II duties and responsibilities:
May be tasked with special assignments requiring planning and multi-tasking abilities
Must have at least two (2+) years of government office work and office procedures
Must have working knowledge and experience in performing computer data entry, word processing, presentation graphics preparation and developing spreadsheets using appropriate software
Must be capable of handling various situations, problems and deviations in office procedures as priorities, policies and goals may change
Requirements A High School Diploma or equivalent is required at a minimum however, an Associate's or Bachelor's degree is preferred
Qualified candidates must have Administrative Assistant experience commiserate with the level of position
Intermediate to advanced level skills in Microsoft Office software suite - Word, Excel, Outlook, PowerPoint
Ability to communicate effectively with all levels of employees and outside contacts
Strong interpersonal skills and good judgment with the ability to work alone or as part of a team
SECURITY CLEARANCE REQUIRED: Must be able to obtain a DOT clearance at the Public Trust level. US Citizenship is a requirement for DOT Public Trust clearance.
