Piedmont Virginia Community College (PVCC) is a nonresidential two-year institution of higher education that serves Central Virginia - principally residents of the City of Charlottesville and the counties of Albemarle, Buckingham, Fluvanna, Greene, Louisa and Nelson. Our scenic campus is located in Albemarle County, Virginia. We are one of 23 community colleges in Virginia that comprise the Virginia Community College System (VCCS).

Position Description

Provides administrative, clerical, customer service and operational support to the Facilities Department

Job Description

  • Responsible for collecting, sorting/organizing, and storing records and data whether digital or hardcopy.

  • Maintains databases, spreadsheets, lists or files used for analysis or preparing reports.

  • Uses college and state software systems for procurement, asset inventory, work orders and facilities management.

  • Greets visitors (vendors, contractors, college faculty and staff) in-person or by phone and responds to basic inquires or needs. Directs more complex questions or contingencies to the appropriate person in the department.

  • Monitors work-order system and emails for emergent issues or requests and communicates with appropriate Facilities Staff for action.

  • Maintains department calendars for preventative maintenance, inspections, audits, projects and other activities.

  • Assists with event set-up administration.

  • Assists in coordinating appointments and meetings by distributing agendas, preparing presentation materials, and taking notes or minutes.

  • Communicates with service and product vendors for scheduling services, soliciting quotes, placing orders, and managing invoices

Minimum Qualifications:

  • Excellent customer service, organizational, verbal, and written communications skills with keen attention to detail and accuracy.

  • Ability to collaborate with team members and take direction from multiple individuals.

  • Proficient in computer skills, data entry, word processing.
