POSITION:
Assistant to the Director of Curriculum/Substitute Coordinator
Serves as confidential secretary to the Director of Curriculum by processing
and maintaining accurate staff/student records and completing other tasks of the
Curriculum Office as requested.
Maintains all facets of the Substitute Coordinator position as required.
QUALIFICATIONS/JOB RESPONSIBILITIES:
High School Diploma or equivalent required
Previous clerical experience required
Must have excellent communication skills
Must have experience working with databases/spreadsheets
Must have experience with Google Docs/Microsoft Office
Answers routine phone inquiries, takes and routes calls
Receives and directs Central Office visitors
Distributes mail for Curriculum/Substitute Office
Types, prepares, distributes, records, reports, correspondence, etc. related to Substitute/Curriculum Office
Work in collaboration with payroll and personnel departments to assist with providing time-sensitive information and assistance
to/for employees and the public.
Assists Director of Curriculum as requested.
Job Responsibilities-Substitute Coordinator
Maintains substitute postings on the district's job posting website.
Provides administrative team with substitute applications for their review and appointment of daily substitutes for the district.
Processes all initial substitute hires and maintains personnel files for each.
Provides assistance to daily substitutes with routine personnel matters as it pertains to the substitute position.
Manages district's absence management software program, including but not limited to:
oInputs personnel information into database and generates required reports as it relates to substitutes and personnel.
oMaintains timely and complete records of absence management software program, including staying updated with periodic
upgrades to the system.
oAssists School Secretaries with reporting inquiries in order to ensure the accuracy of staff and substitute absences, and that
they are submitted to the payroll department in a timely manner
oSubmits timely and accurate substitute tracking for payroll department for each biweekly payroll
Processes substitute CORI checks.
Processes day requests for all staff, enters them in the database for staff attendance, and submits completed substitute payroll
to the payroll department for further processing.
Works consistently with the payroll department to ensure the accuracy of all staff attendance records for the entire district.
Processes substitute payroll for submission and review by the Payroll Dept.
Maintain binder for student accident reports.
Job Responsibilities-Curriculum Office
Grants
oMaintains binders and keeps timely records of all paperwork for grants that are associated with the Curriculum Office
oSupports Entitlement Grant Communications and events
English Language Learner (ELL) students
oProcesses all paperwork for ELL students
oResponsible for maintaining Language Acquisition Team (LAT) documents, entering receipt of parent/guardian signatures, and
posting of LAT to SIMs
oResponsible for maintaining accurate and timely records for all ELL students-corresponds with schools on an ongoing basis to
ensure accuracy of records
oCommunicates with parents of ELL students as requested by the Director of Curriculum
oArranges for translation of documents and translators for ELL and parent/teacher meetings as requested.
Homeless Students and Foster Care
oMaintains accurate and timely records for all homeless and Foster Care students-corresponds with schools on an ongoing basis
to ensure accuracy of records
oCoordinates transportation for homeless and Foster Care students in a timely manner, as needed
oCommunicates with parents of homeless and Foster Care students as requested by the Director of Curriculum
Homeschooling
oProcesses all paperwork for homeschool students yearly and mid-year, as necessary
oMaintains accurate and timely records for all homeschool students
oCommunicates with parents of homeschool students as needed, or at the request of the Director of Curriculum
Budgeting/Finance
oProcesses all orders for supplies for the Curriculum Office/Substitute Coordinator as needed
oMaintains accurate records of all requisitions and maintains record of balances for budget accounts for the Curriculum Office
Professional Development
oAssists the Director of Curriculum on all aspects of coordinating Professional Development for the district, as needed
oMaintains accurate records of all professional development activities for the district
PHYSICAL REQUIREMENTS
oAble to sit/stand/walk for long periods of time
oAble to lift up to 35lbs
REPORTS TO:
Superintendent/Director of Curriculum/School Business Manager
SALARY:
Personal Service Contract based on experience
