Summary of Position Responsibilities: Provide administrative support and organization to the
Director Curriculum, Instruction, and Assessment

Basic Functions:
Under the direction and supervision of the Director of Curriculum, Instruction, and Assessment, the Administrative Assistant position provides various administrative services and direct support activities to the Curriculum, Instruction, and Assessment department and to the Federal Grants Manager(s). This includeS, but is not limited to:

  • Provides various administrative services and support to the department.

  • Offers accurate information on curriculum, instruction, and assessment resources.

  • Supports the implementation District policies and department procedures.

  • Maintains confidentiality on all departmental matters.

  • Establishes and maintains contact with personnel across schools and agencies.

Essential Duties and Responsibilities
Curriculum:

  • Maintain and distribute curriculum and testing calendars.

  • Facilitate communication to keep curriculum documents up-to-date.

  • Manage records and materials for educational programs and grants.

  • Coordinate the ordering and distribution of curriculum materials.

  • Maintains curriculum resources, including web page and other data tools and processes.

Instruction:

  • Maintain records for professional growth and evaluation systems.

  • Assist with staff development programs and event coordination.

  • Maintain the professional learning activities database.

  • Keep records for mentoring programs, including preparing contracts and documentation.

  • Assist in the design and implementation of mentoring program activities.

Assessment:

  • Maintain and distribute the master assessment calendar.

  • Communicate with teachers and administrators about assessments.

  • Develop assessment schedules with administrators.

  • Maintain inventory and oversee distribution of testing materials.

  • Assists in the assessment process including working with testing databases and technology requirements.

Fiscal Responsibilities:

  • Design spreadsheets and maintain records for grants and projects.

  • Handle procurement paperwork and purchase order processes.

  • Prepare invoices, monitor payments, and maintain budget documentation.

  • Provide monthly budget reports to relevant managers.

  • Ensure compliance with federal and state grants regulations.

Administrative/Office Management:

  • Meet with the Director to ensure the Curriculum department runs smoothly.

  • Handle communications and inquiries as the Director's main contact.

  • Use software skillfully for data management and reporting.

  • Support and coordinate Title IX processes effectively.

  • Maintain a schedule for the Director and manage office communication.

  • Provide technical and administrative support to staff.

  • Maintain filing and mail distribution systems.

Bachelor's or Associate's Degree or equivalent work experience.
Knowledge, understanding and demonstrated aptitude or competence necessary to complete required responsibilities outlined below:
Computer skills and knowledge of relevant software.
Knowledge of operation of standard office equipment.
Possess strong organizational skills.
Able to handle multiple tasks efficiently, prioritize and work independently.
Possess excellent interpersonal and communication skills, both verbal and written.
Able to problem solve, be flexible and adaptive.
Respect and maintain confidentiality when necessary.
Interest, willingness, and/or experience integrating and advancing practices of diversity, equity, and inclusion.
