Administrative Assistant to the Dean of Allied Health

Reports to the Dean of Allied Health.

Appointment: Full-Time in Brown County.

Position Summary: Provides office and administrative services by assisting the Dean of Allied Health and the Allied Health faculty; in addition, provides support for the Brown County office Operations.

  • Serving as receptionist for the Division of Allied Health; fills in as receptionist for Brown County Campus as needed. Answers phones and relays messages to the appropriate recipient(s).

  • Furnishing information about Allied Health Programs and Ranger College to current and prospective students and visitors; assisting with tours of the Brown County Campus.

  • Providing secretarial support and assistance to the Dean of Allied Health, Program Coordinators, and Faculty.

  • Procures and maintains Department of Nursing program and office supplies.

  • Receives and distributes mail, meeting materials, and other documents as appropriate.

  • Maintains Texas Board of Nursing, accreditation, financial, grant, and other records with necessary components for the day-to-day operation of the program and regulatory guidelines.

  • Supports the Brown County office operations as needed that includes but not limited to: proctoring mid-term and final exams, answering the phone, desk coverage during times of additional activity.

  • Collaborates with the Dean and Coordinators to set up Allied Health division and departmental meetings by scheduling meetings on faculty calendars, reserving room, setting up the videoconferencing link and connectivity preparing and distributing agendas.

  • Generates and files Allied Health meeting minutes, reports, letters, forms, and other required documents as needed.

  • Assists the Dean of Allied Health, faculty, and staff team to meet deadlines for program-related projects.

  • Assists with annual reports and regulatory survey preparations.

  • Creates purchase orders in compliance with Ranger College policy, and follows up with the appropriate documentation (IE receipts, invoices, etc.).

  • Facilitates annual inventory of computer equipment and other equipment as required.

  • Collaborates with the Dean of Allied Health and Coordinators to schedule Allied Health, ceremonies, community events, and advisory board meetings.

  • Serve on committees and at meetings as assigned.

  • Oversees inventory of Allied Health recruiting supplies, marketing brochures, and promotional products.

  • Facilitates travel requests and arrangements for the Dean of Allied Health and faculty when attending out-of-town conferences or meetings.

  • Assists with Brown County student service activities as needed, such as holiday events, celebrations, and special events. Collaborates with Brown County staff and departments to ensure events are on the calendars; communicates events to the Brown County staff and faculty.

  • Maintains spreadsheet of Allied Health discipline-specific professional development and community service activities.

  • Performs additional duties as assigned by the Dean of Allied Health to support the Division of Allied Health program outcomes.

Qualifications:

High school diploma required; certification as an office or administrative assistant or an Associate Degree is a plus; work history in higher education preferable.

Able to keep student records and information confidential and secure in accordance with applicable privacy law.

Able to proficiently operate various software programs, including but not limited to: Microsoft Office and Google Workspace programs; various video meeting applications; and college software to access student records.

Physical Requirements:

Must be able to lift files, objects, boxes or books up to 25 pounds

Must be able to sit at a desk and work on a computer for prolonged periods of time

Must be able to consistently attend assigned working hours according to the Ranger College hours of operation
