Position Title: Administrative Assistant to Director of Learning and Teaching
Department: Academic Services
Supervisor: Director of Learning and Teaching
Term of Employment: 12 Months

Job Summary: Performs a variety of administrative and secretarial support functions for the Learning and Teaching Department.

ESSENTIAL DUTIES AND RESPONSIBILITES generally include the following:
Performs a variety of clerical and secretarial functions as needed in the position to support the Learning and Teaching department, its programs, and the leadership team, including placing, screening, forwarding phone calls
Schedules a variety of meetings, conferences, interviews, in-services, workshops, and other activities
Arranges meeting sites and handle logistical requirements. Makes travel arrangements and bookings as needed
Prepares and organizes agendas, presentations, purchase orders, and informational packets for department sponsored events
Coordinates the Learning and Teaching department calendar
Maintains department's portal and website for regular communication with both internal and external stakeholders
Coordinates a variety of ad hoc or special projects
Maintains, updates, and creates files, records, meeting notices, agendas, minutes for meetings subject to open meeting law
Maintains, updates, and creates files, records, meeting notices, agendas, minutes, time sheets, mileage reports, staffing records, school rosters, and databases for assigned programs or department
Responds to inquiries from staff, vendors, contractors, parents, students, and the community
Schedules employment interviews and conducts reference checks for department
Processes and monitors a variety of agreements, contraction and applications within the Learning and Teaching Department
Performs other duties as assigned or required
KNOWLEDGE AND SKILLS:
Knowledge of applicable Federal, state, county and city statues, rules, policies and procedures
Knowledge of applicable Peoria Unified School District and departmental policies and procedures
Working knowledge of Microsoft Office with skills in word processing, spreadsheets, and data bases
Attention to detail, thoroughness and follow-through are critical
Courtesy and professionalism at all times
Skill in establishing and maintaining effective communications and working relationships with co-workers, former students, their parents or family members, vendors, the general public, and others having business with school district
Skill in operating a personal computer utilizing a variety of hardware, software applications and peripheral office equipment
MINIMUM QUALIFICATIONS
A High School Diploma or GED, AND two (2) years of administrative and secretarial experience in a professional office; OR and equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
OTHER REQUIREMENTS
Must be able to pass a fingerprint and background clearance check
Must be able to work outside of normal working hours
May be required to possess and maintain a valid Arizona driver's license
May be required to life and carry supplies and materials weighing up to 20 pounds
