Overview

We are seeking a highly organized and proactive individual to join our team as an Administrative Assistant to Chief Operating Officer. In this role, you will provide comprehensive administrative support to the COO and the Operations team, ensuring smooth operations and efficient communication within the organization. The ideal candidate will possess exceptional multitasking abilities, excellent communication skills, and a strong attention to detail.

How you'll make an impact

  • Act as the primary point of contact for internal and external stakeholders, including clients, partners, and employees, on behalf of the COO.

  • Manage the COO's calendar, schedule appointments, and coordinate meetings, ensuring all necessary materials and resources are prepared in advance.

  • Prepare and edit correspondence, reports, presentations, and other documents as required by the COO, ensuring accuracy and professionalism.

  • Conduct research and compile data to support the Executive Team in making informed decisions and recommendations.

  • Coordinate travel arrangements, including flights, accommodations, and transportation, for the COO and other team members as necessary.

  • Assist in the preparation and coordination of weekly Leadership meetings, including agenda creation, document distribution, and meeting minutes.

  • Maintain confidential files and records, ensuring proper documentation and organization.

  • Facilitate the approval, signing, and proper distribution of agreements and contracts on behalf of the COO.

  • Collaborate with other executive assistants and team members to streamline processes and improve overall efficiency within the organization.

  • Handle incoming calls, emails, and other correspondence, prioritizing and responding in a timely manner.

  • Assist with special projects and initiatives as assigned by the COO, demonstrating flexibility and adaptability in a fast-paced environment.

About You

  • High school diploma and 7 years related experience required.

  • Highly skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a proven ability to learn other relevant software, along with company travel and expense platforms.

  • Proven experience as an executive assistant or in a similar administrative role, preferably supporting C-level executives in a large organization.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Strong written and verbal communication skills, with exceptional attention to detail.

  • Ability to handle sensitive and confidential information with discretion and professionalism.

  • Exceptional interpersonal skills, with the ability to build and maintain positive relationships with stakeholders at all levels.

  • Proactive and resourceful, with strong ability to anticipate needs, take initiative, and drive assignments to successful outcomes.

  • Strong problem-solving skills, with the ability to think critically and make sound decisions.
