Position Title: Administrative Assistant to Central Office
Reports To: Director of Finance and Operations
Start Date: As soon as possible
Summary: To work with limited supervision while providing general support in all areas of Central Office.
Qualifications:
High School graduate with some college desirable.
Course work in secretarial subjects (typing, word processing, computers, filing, office procedures) with five years experience as a secretary in business or three years experience as a secretary in Pennfield Schools or in another district of comparable size.
Organizational skills, ability to work with minimum supervision, use of the telephone, basic typing and computer skills, and office procedures.
Ability to interact positively and cooperatively with staff, students, parents, and community members.
Responsibilities:
Maintain multiple filing systems and process incoming correspondence as assigned.
Maintain files of paid and unpaid invoices and purchase orders.
Prepare, verify, and distribute checks.
Respond to expenditure questions from District responsibility centers/ departments.
Process checks and make deposits. Prepare backup information for accounts receivable. Input of cash receipts.
Reconcile year-end accounts / reports/ projects.
Provide technical and analytical support to administrative and clerical staff relating to budgets, accounts, reports, and the use of district software including one-on-one training on account software as needed.
Research unclaimed accounts payable checks; reissue to vendor.
Assist with annual audit preparation.
Support with minor updates to the district website.
Support with required postings for the Board of Education.
FOIA Coordinator
Support with district Professional Development & SCECH's.
Support with district curriculum inventory and distribution.
Help with new hire ID badge photos.
Maintain and update employee certification and permit information as needed.
Apply for substitute permits as needed and maintain appropriate documentation.
Monitor and assist with ensuring compliance training is completed for all employees throughout the district with Vector Training / Safe Schools.
Reconcile monthly bank statements.
Reconcile Ref Pay account monthly.
Process volunteer forms.
Distribute and process daily mail (U.S. and internal).
Act as receptionist; welcomes visitors and arranges for their comfort.
Maintain regular consistent attendance and punctuality.
Maintain a professional personal appearance.
Adhere to Board Policies.
Maintain confidentiality.
Perform all other duties as assigned.
Wages & Benefits:
Full-Time, 260 calendar days
