Under the direction of the AVP Corporate Secretary, the Administrative Assistant provides logistical support for meetings, events, and travel accommodations for the Board of Directors and, at times, for the CEO and executive team. Under minimum supervision, the Administrative Assistant performs a broad range of administrative tasks, including managing internal sites, preparing and sending correspondence, tracking and organizing information, managing calendars, creating, updating and disseminating meeting minutes, arranging travel, catering, and completing expense reports.

Core responsibilities include:

  • Proactively establish operating rhythm in collaboration with AVP Corporate Secretary and consistently execute the operating rhythm to ensure the needs of the AVP Corporate Secretary and executive team are met

  • Provide administrative support to the AVP Corporate Secretary, including proactive calendar management, appointment scheduling, meeting preparation/logistics, arranging travel, processing expenses, ordering supplies, creating documents, materials and communications, and other assistance as needed

  • Arrange, schedule and confirm appointments, meetings, conferences, and executive/Board member travel arrangements

  • Arrange, schedule and confirm catering orders

  • Process expense reimbursements and document expenses for budget reporting

  • Prepare and compose agendas, minutes, and other documentation for internal meetings

  • Assist in the creation, compilation, and editing of executive documents, including policies, business plans, and reports

  • Assist in the planning and execution of Board, executive and committee meetings (monthly, quarterly, annual)

What you need for this position:

  • An Associate's degree in related field

  • 2 - 5 years' administrative assistant experience OR an equivalent combination of education and experience required

  • Demonstrated ability to work well with others and build trusting relationships

  • Strong organizational, time management, and communication skills

  • Demonstrated ability to give and receive constructive feedback regularly

  • Desire and demonstrated ability to provide excellent service with a positive disposition

  • Ability to maintain confidentiality and appropriately work with confidential information

  • Ability to occasionally lift and/or move up to 20 pounds

  • This position requires flexible working hours during the early mornings, evenings and weekends

  • Bachelor's degree preferred

  • Proficiency in the use of Microsoft Office Programs including Outlook, Word, PowerPoint and Excel; SharePoint a plus
