Schedules appointments, gives information to callers, takes dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.
Essential duties and responsibilities include the following. Other duties may be assigned as needed
Collects data from JDE to prepare various weekly and monthly reports and financial statements
Prepares in Excel a monthly Southeast Regional Summary report
Prepares in Excel a monthly Floor & Wall Covering Recap report.
Prepares and submits the following monthly reports or documents for three managers:
Reconciles American Express (P-card) statement matching up receipts to statement and submitting to accounting to processing
Prepares and submits weekly managers' expense reports.
Prepares and submits managers' mileage reports.
Maintains and submits managers' time sheets.
Accounts payable assigns GL code numbers to invoices through our Bottomline AP system.
Arranges and coordinates managers' agendas, meetings, travel schedules, conference calls, training sessions, location luncheons and/or dinners.
Weekly enters payroll for all associates in location office.
Maintains time sheet files, monthly financial files, and all other sensitive files.
Makes copies of correspondence or other printed materials.
Prepares outgoing mail and correspondence, including e-mail and faxes.
Orders and maintains office supplies, and arranges for equipment maintenance.
Composes and types routine correspondence, emails, and assists with any other projects as needed.
Answers and screens managers' telephone calls, takes and relays messages. May respond to emails and requests on their behalf.
Scans and monitors all managers' email accounts. Deletes junk mail and flags important messages for viewing immediately.
Advanced computer skills (familiarity with JD Edwards would be a plus)
Extensive use with MS Office Suite (Outlook, Excel, and Power Point)
Ability to perform multiple tasks and prioritize as needed
Must be able to exhibit honesty, integrity and trustworthiness especially with confidential information
Customer service experience required with an ability to communicate professionally via phone, email and through written correspondence with our internal associates, customers and vendors
Basic clerical skills and familiarity with office equipment; photocopier, fax, phone, etc.
Education and/or Experience
Previous administrative support experience desired but not required
College Degree or some college preferred; High School Diploma is a minimum
