We are searching for an experienced Administrative Assistant to provide administrative support; tasks include assisting technical staff with general administrative duties in a 200-person professional consulting-engineering office. Duties will include editing and formatting report submittals and correspondence, printing/copying, reports, filing and records management and supporting office staff as necessary. The successful individual will be able to work under direction of others, work well under pressure in a fast paced work environment, be capable of multi-tasking and prioritizing work, show initiative and work well with others as a team as well as the ability to work independently and perform professionally in a deadline-oriented office environment.

Some of your responsibilities will include:

  • Desktop publication and report formatting/word processing using Microsoft Office Suite, Adobe and/or Nuance according to corporate and client style guides

  • Reproduction of large documents

  • Compose letters and memorandums

  • Write documents to CDs

  • Development of report graphics, tables, organizational charts, etc.

  • Assist with data entry (spreadsheets, databases, etc.).

  • Shipping; US Mail as well as overnight packages.

  • Revising and formatting letters, reports, and technical documents as directed.

  • Ability to manipulate and format documents using various applications

  • Records management and document controls per company standards

  • Filing and assisting with general office organization, maintaining inventory of office supplies.

  • Cover front desk and fill in as receptionist as needed, screening calls and logging deliveries and other duties as requested.

  • Schedule conference rooms and make travel arrangements

  • Other duties as assigned (i.e., scanning, copying, ordering supplies including preparing requisitions, stock supplies, process invoices, prepare offices, etc.).

  • Exceptional organizational, communication and interpersonal skills

  • Ability to type at least 60 words per minute

  • Advanced knowledge of Microsoft Word, Excel, Power Point, Outlook and have extensive experience using Nuance and/or Adobe to edit PDFs.

  • Experience formatting technical reports

Education and Experience:

High school diploma required. College-level classwork or degree helpful but not required. Demonstrated experience working in an office environment is required. Must have administrative or clerical experience, education, or training which demonstrates the candidate's ability to perform hardcopy and electronic records management work including planning, controlling, organizing, and promoting activities involved with respect to records management to include the use of a computer and automation systems.

Organization of information is critical. The candidate will be knowledgeable of how data is stored and how to retrieve it when necessary to support technical staff from all offices when necessary.

Extensive Proficiency in Microsoft Office Software required. Experience using InDesign, and Adobe Creative Suites; Acrobat Professional and Nuance, Photoshop and Illustrator is preferred. Candidate should possess direct experience in a similar position. In addition, candidate must have excellent attention to detail and the ability to work with minimal supervision.

Other Skills and/or Requirements:

The successful candidate must be fluent in written and spoken English, as adequate for interaction with company staff by phone, internet, and face-to-face. The candidate must be able to converse interactively with project managers and technical staff to accept, understand, and follow up with written and verbal instructions. The qualified candidate must be able to edit documents to correct spelling errors and grammar errors.
