ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepare official correspondence/documents, maintain an incoming and outgoing log of naval correspondence/documents and submit correspondence/documents for serialization and signature.

  • Monitor leadership schedules/calendars, make arrangements for conferences and meetings and assemble established background materials as directed.

  • Edit and proof documents for grammar and spelling as well as format all documents in accordance with government guidelines. Serve as Command timekeeper, which requires a bi-weekly review of the time cards to ensure their completeness, leave approval, and timely certification.

  • Assist Management Internal Control Program (MCIP) Coordinator with maintenance/updating of the program notebooks, which includes tracking

  • Provide records management support and Transmit text data and graphics as required.

  • Upload travel into online tracking system and create, route, and track message traffic.

  • Attend various meetings as required.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Other duties as assigned.

Required Skills

Required Education, Experience and Licensure:

  • Four (4) years of Secretarial experience performing the task/duties of an Administrative Assistant or duties of a Secretary III.

  • Ability to collect information and respond to routine inquiries and/or prepare periodic reports/presentations.

  • Proficient in Microsoft Office: Word, Excel, PowerPoint, Outlook and Access.

  • Demonstrate the ability to work independently and be able to communicate effectively both orally and through formal reports.

  • Must be able to obtain and maintain a SECRET clearance.

Skills, Knowledge and Abilities Required:

  • Must be able to work independently, have strong written and verbal communication skills and an ability to coordinate multiple tasks

  • Superior customer service focus

  • Be able to read, write, speak, and understand the English language

Essential Duties and Responsibilities: * Conduct annual department physical security surveys * Complete force protection conditions (FPCONS) and report attainment through the department. * Instruct department personnel in security practices and procedures pertaining to classified spaces, including opening and closing, visitor control, classified meetings, and courier procedures. * Develop OSS SOPs, instruction in security practices and procedures pertaining to classified spaces, including opening and closing, visitor control, storage of classified material and courier procedures, if there are differences not covered in the Command Security Manual, other Code 105 instructions or SOPs. All SOPs must be approved by the Security Director. * Assist in management of command key control (issuance, return & tracking) program. Completing annual key inventories and tracking the temporary, daily check out of keys. Completion of Key Memos to NAVFAC for signature when new keys are required. Required Skills Professional Qualifications/Skills: * Three (3) years of experience in developing and maintaining documentation and/or data management systems, involving DOD/DON combined in the security disciplines of information, physical, operations, and special security. * Experience should demonstrate skills with Microsoft Office suite (Word, Excel, Outlook and PowerPoint). * Must demonstrate the ability to work independently and be able to communicate effectively both orally and in writing, to include specific Government formats and reports. Knowledge of various software applications; Lenel Enterprise Control/Intrusion Detection System (IDS) alarms, Scattered Castles, Joint Personnel Adjudicating System (JPAS) and Security Information Management System (SIMS). * Experience in the use of DOD/DON policies regarding physical, information, special and international security. * Ability to climb a ladder to perform physical security assessments. * All personnel providing support under this requirement must possess clearances at the SECRET level or higher. Interim SECRET clearances are acceptable.
