Surgical Care Affiliates is currently seeking an Administrative Assistant for our Carmel, IN office.

Accountabilities / Responsibilities

  • Maintain a professional and polished reception area

  • Greet guests as soon as they arrive at the office and communicate their arrival appropriately and timely

  • Maintain office security by following safety procedures and controlling access via the reception

  • desk (monitor logbook, issue visitor badges)

  • Directly support leadership with accurate and timely completion of booking travel, expense reports, calendars and other administrative requests

  • Coordinate, plan and organize office events and meetings both on and offsite

  • Maintain organization of office supply inventory and delivery; accurately track inventory, order supplies when needed, distribute to office and keep office break rooms and conference rooms

  • Maintain conference room and office calendars

  • Create and distribute professional office wide email and tv communications

  • Receive, sort and distribute daily mail/deliveries

  • Accurate and timely completion of all needed filing

  • Maintain availability to leadership throughout the work day

  • Serve as back up for Leads or Managers as needed to approve department timecards as well as administratively approve teammate timecards for exempt level teammates as needed

  • Make travel arrangements for teammates and guests in the office


  • Minimum of an Associate's degree and one year of experience, or three years of experience performing high level office support functions

  • Must be proficient with Microsoft Suite including Outlook, Word, PowerPoint and Excel

  • Moderate comfortability with Office 365 preferred

  • Moderate comfortability with Concur Solutions for expenses preferred

Duties include fielding telephone calls, receiving and directing visitors, word processing, coordinating site visits, ordering office supplies, and record keeping. Responsibilities: * Supports general business operations through the completion of administrative tasks such as preparation and editing of presentations, proposals and correspondence. * Answers office phone and directs calls appropriately. * Scanning duties may include certificates, account profiles, or mailings; scan P&C, Personal Lines and Employee Benefits material. * Maintains knowledge of personnel to coordinate direction of visitors, calls, and mail appropriately. * Coordinates incoming and outgoing mail distribution for assigned location; ensures that mail, faxes, and other communications are delivered timely and accurately. * Meet and greet clients and visitors. * Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing. * Set up and coordinate meetings and conferences. * Support staff in assigned project based work. * May coordinate day-to-day facilities management issues; heating, ventilation, air conditioning, plumbing and safety problems to building maintenance; monitors facility cleaning activities and refers any problems to onsite supervisor or manager. * Ensures important office services information is communicated to staff and other appropriate internal and external contacts; ensures that communication channels are established and used so that important information is exchanged as needed. * Other duties as assigned.
