Accountabilities / Responsibilities
Under minimal supervision provide high level administrative support to three (3) Vice Presidents
Manage Outlook calendar including meeting invites and schedules, and ensure timely follow up on specific issues
Coordinate meetings, prepare agendas, reserve and set up facilities
Complete expense reports timely, ensuring appropriate documentation is collected and processed
Secure and coordinate travel arrangements
Process letters, memos, faxes and other documents.
Coordinate conference calls.
Off site meeting planning including securing facility, rooming lists, banquet needs, etc.
Must be able to work in a participative team culture as well as independently, as a virtual assistant
Compose confidential correspondence and reports in a timely manner.
Develop and maintain various spreadsheets and databases, independently determining the organization of data and desired results.
Represent the Executive in a positive, supportive, professional manner to management, vendors, and visitors.
Act as a liaison between the Executive and other teams and individuals.
Ability to travel to regional / national meetings as needed
High School Diploma required; Bachelor's Degree preferred
2+ years of administrative assistant experience
Experience working with senior management preferred; track record of high performance in a high intensity, demanding environment
Experience working successfully as part of a team
Extremely organized; ability to manage multiple projects.
Experience with using technology (for communication, to grant permission to systems, etc.).
Advanced skills in Microsoft Word, Excel, Outlook, and PowerPoint are a must.
Experience in writing reports and business correspondence.
Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.
