Accountabilities / Responsibilities

  • Provide administrative support to multiple executives and/or departments. Professional, friendly, and welcoming appearance and demeanor are essential. Day-to-day responsibilities will include assisting with travel management, expense reports, coordination of calls and meetings, planning of offsites, and assisting with completing ad hoc requests/tasks. The ability to work well under pressure and with grace in a fast-paced environment is necessary.

Key Responsibilities:

  • Under minimal supervision provide high level administrative support to three (3) Vice Presidents

  • Manage Outlook calendar including meeting invites and schedules, and ensure timely follow up on specific issues

  • Coordinate meetings, prepare agendas, reserve and set up facilities

  • Complete expense reports timely, ensuring appropriate documentation is collected and processed

  • Secure and coordinate travel arrangements

  • Process letters, memos, faxes and other documents.

  • Coordinate conference calls.

  • Off site meeting planning including securing facility, rooming lists, banquet needs, etc.

  • Must be able to work in a participative team culture as well as independently, as a virtual assistant

  • Compose confidential correspondence and reports in a timely manner.

  • Develop and maintain various spreadsheets and databases, independently determining the organization of data and desired results.

  • Represent the Executive in a positive, supportive, professional manner to management, vendors, and visitors.

  • Act as a liaison between the Executive and other teams and individuals.

  • Ability to travel to regional / national meetings as needed

Qualifications

  • High School Diploma required; Bachelor's Degree preferred

  • 2+ years of administrative assistant experience

  • Experience working with senior management preferred; track record of high performance in a high intensity, demanding environment

  • Experience working successfully as part of a team

  • Extremely organized; ability to manage multiple projects.

  • Experience with using technology (for communication, to grant permission to systems, etc.).

  • Advanced skills in Microsoft Word, Excel, Outlook, and PowerPoint are a must.

  • Experience in writing reports and business correspondence.

  • Ability to effectively present information and respond to questions from managers, clients, customers, and the general public.

Responsibilities * Serve as primary executive support to executive and/or management staff including, but not limited to calendar maintenance and logistical support, document formatting, meeting preparation and coordination with clients and staff, travel accommodations and expense reporting, and general office organization and filing * Communicate and handle incoming and outgoing communications on behalf of the executives/management * Assist with preparation of presentation materials * Ensure the confidentiality without written authorization, any of the Company's Confidential Information which includes Information related to the internal affairs of the Company, its clients, services, products or employees disclosed in oral, written, visual or other form including but not limited to the following: human resources, technical, scientific, business, regulatory and marketing information * Professionally represents themselves and the executive team with others and at all company events Qualifications * The ideal candidate will have: Five plus years of experience supporting at the executive or management level preferred; excellent calendar management skills, including the coordination of complex executive meetings; experience assisting executives with the creation of PowerPoint presentations; strong customer service and organizational skills with a high level of attention to detail; expert level written and verbal communication skills, strong decision making ability and attention to detail; ability to prioritize and manage multiple projects simultaneously; working knowledge of information technology tools such as the Microsoft Office Suite, and appropriate web-based applications and services; experience in the Biotechnology, Pharmaceutical industry or the Staffing Industry preferred. * Education: Bachelor's Degree, preferred.
