The Administrative Assistant is accountable for independently performing complex office administration and secretarial support tasks for the Superintendent's Office and Board of Education.
EDUCATION AND EXPERIENCE
An Associate's degree in secretarial science and two (2) years of employment in a secretarial capacity may be substituted for the General Experience.
An equivalent combination of the above education and experience totaling four (4) years may be substituted for the General Experience.
CONTINUING EDUCATION REQUIREMENTS
Incumbents are expected to be current in all aspects of administrative procedures and secretarial science.
KNOWLEDGE, SKILLS AND ABILITIES
Considerable knowledge of office administration and management;
Considerable knowledge of functions, procedures, programs and regulations of relevant organizational unit;
Considerable knowledge of English grammar, spelling and punctuation;
Skilled in creation of District documents, presentations and reports;
Skilled in use of Adobe, Photoshop, and other web-based graphic design tools;
Considerable interpersonal skills;
Ability to interact effectively with supervisor, co-workers and general public;
Ability to work independently on administrative tasks and make decisions within framework of departmental policies;
Ability to follow complex instructions;
Ability to take accurate and complex dictation;
Ability to work with individuals from diverse backgrounds.

Acts as confidential secretary to the Board of Education and Superintendent's Office;
Serves as Board of Education Secretary: prepares agendas and board packets; coordinates and attends all Board regular meetings and special meetings (when requested); prepares meeting postings and minutes; arranges registration/travel for professional development opportunities and other related functions
Coordinates student discipline cases that come before the district hearing officer or Board of Education (coordinating meeting dates, locations, postings, letters to parents, minutes, etc)
Prepares annual Board of Education meeting schedule and agenda calendar
Provides specified Board materials to EARL President, as per CBA
Assists in maintenance of District website pages
Coordinates Board of Education election/vacancy process
Coordinates semi-annual review of Board of Education closed meeting minutes
Maintains files for Superintendent and Board of Education
Serves as secretary for Ad Leadership meetings (prepares schedule, set up, agendas, maintains minutes, etc)
Prepares/Processes purchase orders and p-card transactions for Superintendent/Board of Education/Public Relations offices
Provides clerical support to Board Policy and Administrative Procedure review process
Assists in creation of School Calendar
Coordinates sexual predator notices
Maintains retention of records process
Assists with collection of appropriate documentation for Regional Office of Education Compliance audits
Serves as back up in communicating school closures and other district-related communications via SchoolMessenger communication system
Provides clerical support to Superintendent office, including the Public Relations Officer
Provides clerical support in coordination of district-led events (Hispanic Heritage Celebration, Black History, Talent Expo) - program development and other duties as assigned
Assists in organization of office gatherings (holidays, birthdays, etc)
Performs special assignments, studies and routine administrative functions as assigned
Serves as back up to Executive Assistant to Superintendent
Performs related duties as required.
