Job Responsibilities

The South Carolina Commission for the Blind is seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to our team. The ideal candidate will be adept at handling various administrative tasks efficiently and effectively, ensuring smooth operations within the organization. This role requires strong communication skills, the ability to multitask, and a commitment to providing excellent service to both internal and external stakeholders.

Responsibilities of Administrative Assistant:

Serve as the main contact for administrative services in the Rock Hill district office.

  • Serve as the front-line customer service provider for the office, with duties to include, but not limited to, answering phones, greeting visitors and providing general information on agency programs.

  • Accurately enter referrals into the Aware case management system, notify counselor and ensure timely follow up.

  • In coordination with case services staff, complete administrative duties associated with assigned caseloads including, but not limited to, handling correspondence, scheduling appointments, requesting medical records and other documentation, and assembling/maintaining electronic and hard copy case files.

  • Assist with monitoring budgets and expenses related to case services and general operations in coordination with finance staff.

  • Verify that local office procurements meet federal and state compliance requirements prior to purchasing, and that agency policies and procedures are followed during the purchasing process in coordination with procurement staff.

  • Process local office payments in compliance with federal and state laws and regulations, and agency policies and procedures in coordination with accounting staff.

  • Assist with ensuring the physical assets of the local office are maintained, and that the health, safety and security practices are coordinated with facilities/fleet staff.

  • Assist with ensuring the technology and data infrastructure is functioning correctly and securely in coordination with information technology staff.

Minimum and Additional Requirements

A high school diploma and 1 year of relevant experience.

Additional requirements:

Ability to exercise discretion in interpreting and applying established departmental policies and procedures. Good verbal and written communication skills.

Ability to understand and carry out complex oral and written instructions. Considerable knowledge in the use of computer applications including Word, Excel, Outlook, etc. The ability to work as part of a team.

The employee will be expected to apply discretion and confidentiality in interpreting and applying office practices and procedures. Employee will be responsible for meeting all designated productivity standards in a quality manner with minimal supervision.

Some travel, to include overnight, is expected. This job operates in a professional office environment.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, some filing is required. This would require the ability to move files, open filing cabinets and bend or stand as necessary
