JOB OPENING:

We have a great career opportunity available for an Administrative Assistant in our Columbia, South Carolina headquarters.

Under general supervision of the Associate Deputy Director performs administrative, operations, and organizational duties; assists with conferences and exhibits; assists Human Resources; may assist with state aid, finance scanning, and other administrative duties. Assist with coordinating and managing office facilities, activities and events, meetings, equipment, and supplies. Compose and/or assist with preparation of letters, documents, reports, and spreadsheets for the director and program staff. Prepare routine correspondence and assist in preparing materials for meetings or distribution. Assist with the preparation of materials for meetings and presentations for the South Carolina State Library Board. Relieve Agency Director and Administrative Director of routine administrative matters. Serve as the agency's Records Retention Coordinator, ensuring that materials are boxed and labeled appropriately for transmittal to the Department of Archives. Serve as the agency's Time/Leave Administrator. The person needs to have the ability to work on their own and at a pace to keep up with many varied jobs, deadlines, changing schedules, etc. Must be able to use problem solving skills and display sound judgment. Must be able to handle varying workloads as well as the ability to handle routine matters independently.

Responsibilities:

  • Serves as the agency's Records Retention Coordinator.

  • Coordinate and prepare information for staff meetings and events.

  • Coordinate and prepare information for presentations and meetings outside of the agency.

  • Act as the Agency's Time/Leave Administrator

  • Assist with SCSL Board Members liaison duties to include preparing meeting agendas, taking minutes for board meetings, coordinating with the SCDMV for board license plates, assisting with Statement of Economic Interest reporting.

  • Assist with preparation of letters, documents, reports, and spreadsheets for the director and program staff.

  • Maintain calendars for the office.

  • Schedule appointments and meetings as needed.

  • Develop, maintain, and monitor internal office procedures.

Minimum and Additional Requirements

  • A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Ability to lift up to 20lbs. A valid driver's license.

Preferred Qualifications

  • Two (2) years of administrative office experience.

  • Proficient in the use of computer programs such as Microsoft Excel, Word, Outlook, and other relevant software programs.

  • Excellent customer service skills with the ability to interact courteously and effectively with internal and external customers.

  • Excellent organizational skills, attention to detail and the ability to handle multiple projects and meet deadlines under limited supervision.

  • Ability to communicate effectively, both orally and in writing with all levels of staff and management.

  • Ability to exercise judgment and discretion.

  • Ability to establish and maintain effective working relationships.

Additional Comments

Work takes place in an office environment. Overnight travel is not expected for this position, however may be occasionally necessary. Some local travel is expected. Occasional work on evenings and weekends.
