The Administrative Assistant provides comprehensive administrative, technical and clerical support to both the Executive Director of OMES, the Deputy Director of Legislative and Legal Services, the Director of Legislative Affairs and the Director of Outreach.
Responsibilities
The assistant will handle external communications with tact and discretion. Independent judgment is required to prioritize tasks, handle confidential information, and recommend office practice improvements.
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for senior staff and directors.
Makes purchases on behalf executives through purchase card orders, with direct permission.
Coordinates general correspondences. Proofreads for spelling, grammar and layout, making appropriate changes.
Creates and maintains spreadsheets for the Executive Director and senior staff.
Prepares reports by collecting and analyzing various types of information.
Organizes and prioritizes requested information from requestors and incoming calls.
Drafts written responses or replies by phone or e-mail when necessary.
Answers phones for the Director and Deputy Director. Takes messages or fields/answers all routine questions. Works in cooperation with other administrative assistants when required.
Acts as a liaison with other divisions and outside agencies, including high-level staff such as agency directors and executive leaders.
