About the Family & Social Services Administration:

The Division of Family Resources (DFR) within the Family and Social Services Administration (FSSA) is responsible for establishing eligibility for Medicaid, Supplemental Nutrition Assistance Program and Temporary Assistance for Needy Families benefits. The division also manages the timely and accurate delivery of SNAP and TANF benefits. DFR also provides employment and training services to some SNAP and TANF recipients. The division's overarching focus is the support and preservation of families by emphasizing self-sufficiency and personal responsibility.

Salary: The annual minimum starting salary for this position is $ 25,766.00.

About the Job:

The Administrative Assistant serves a program administrator and/or staff professionals performing support tasks in a limited program area.

A Day in the Life:

The essential functions of this role are as follows:

  • Serves as assistant to the Regional Manager interacting with FSSA Central Office, other Regional employees, other State agencies, and the public;

  • Coordinates and disseminates information to the public and FSSA staff upon requests;

  • Maintains confidentiality with sensitive personnel files, correspondence, telephone calls and meetings;

  • Maintains all Personnel files for assigned region within agency;

  • Assists staff and the public with the State of Indiana PeopleSoft application process;

  • Updates regional staffing report;

  • Orders and maintains office supplies and maintains fixed assets;

  • Assists in making travel arrangements and reimbursement of expenses, coordinating with FSSA Payroll/Travel section;

  • Troubleshoots administrative problems within the region;

  • Researches and prepares various reports;

  • Performs related duties as assigned

What We're Looking for:

Two (2) years work experience performing administrative support, office management, or accredited college training in a related field.

What You'll Need for Success:

  • Knowledge of FSSA's mission, performance plan, organization and functions;

  • Knowledge of various computer programs and databases;

  • Ability to coordinate the work and effectively monitor the status of various projects/duties, and ensure their timely and accurate submission;

  • Ability to interact and communicate effectively, both orally and in writing;

  • Ability to work independently and effectively prioritize various projects and assignments;

  • Ability to establish and maintain effective working relationships;

  • Ability to maintain confidentiality;

Supervisory Responsibilities/Direct Reports:

This role does not provide direct supervision to direct reports.

S. Steel. The Assistant Superintendent is responsible to plan, schedule, actuate and control all phases of operations, and supervise all personnel in the performance of that work. This position works closely with Logistics, key managers and other outside customers, and interfaces with common carriers in the planning and scheduling of service requirements. The individual also performs any special duties assigned, by the Superintendent Transportation. JOB RESPONSIBILITES: * Provide and maintain a safe operation for all operating employees, correcting unsafe acts and conditions that create potential for incident or injury. * Provide the necessary instruction and training and enforcement of all operating employees in Safe Operating Practices. * Coordinate work activities to ensure compliance with company policies, labor agreements, and local, state, and federal regulations. * Establish and maintain administrative and general supervision over all matters relating to an efficient operation. This includes regulation of manpower, motive power, and crew power, to reflect fluctuations in business conditions. * Make periodic inspections of facilities and operations, make recommendations for the formulation of plans, policies, programs, and objectives, and assists in their implementation. * Maintain good working relationships with internal and external customers. * Evaluates performance and take the necessary action to correct all substandard performance through instruction, training, and if necessary, disciplinary action. * Investigate train accidents and submit written reports to proper authority. Determine the cause and assess responsibility for these accidents. Assume charge of major derailments making arrangements for the clearing of wrecks and detouring traffic as is necessary to prevent service delays. * Cooperate with other departments on such matters as track repairs, outages, and locomotive and car movements to ensure maximum efficiency of all departments and the overall railroad operation. QUALIFICATIONS: * High School Diploma or equivalent (GED) is required. * Bachelor's degree in Transportation, Logistics, Business Management, or Business Administration is preferred. * Valid driver's license required. * Road Foreman of Engines experience preferred. * Minimum of 5-years of railroad transportation management experience. * Computer proficiency required (MS Office Software).
