The Arizona Game & Fish Department is responsible for managing Arizona's fish and wildlife resource as an enduring public trust. In addition, the Department is charged with promoting safe and responsible use of watercraft and off-highway vehicles. Funding is provided from the sale of licenses and permits; watercraft registration fees; federal excise taxes on firearms, fishing equipment, boats, and other sporting goods; State lottery revenues; donations on State income tax forms; and various contracts and grants. The Research Branch Administrative Assistant will be responsible for providing administrative support to the Research Branch which includes Aquatic Research and Terrestrial Research programs.
Major responsibilities will include:
Inputting and tracking requisitions and SPA's into the State Procurement Portal, collaborating with Department staff and outside vendors on any billing discrepancies and researching, obtaining quotes and ordering materials for Research Branch staff
Assist in development and creation of databases includes data entry and maintenance
Oversees the front office activities and provides support for the Branch Chief, Programs and Projects Specialist, programs managers, and staff
Processes types of correspondence and memos and collects and assembles information for various projects, reports and meetings
Distributes mail, orders and maintains general office equipment, prepares travel arrangements for staff, communicates and coordinates administrative matters between organizational units, and manages central manual and computerized filing systems to ensure easy retrieval of information
Schedules meetings and logistics, and takes, prepares and distributes meeting notes. Greets visitors and callers and provides general information or directs callers to other branch personnel and investigates issues and resolves problems or refers to appropriate program manager or staff
Assists the Program and Project Specialist with preparation and distribution of Commission memos, maintaining fixed asset inventory files, and managing archived documents. Performs other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
The candidate must have knowledge of/in: general office practices and operating procedures and note taking, Microsoft products such as Excel, Word and Access, agency rules and regulations, procurement process and Procure AZ.
Candidate must be skilled in both oral and written communication, and possess strong document editing and organizational skills. The ideal candidate must be able to manage priorities and multi-task, produce high standards of work and quality control, access and review budgets, use independent judgment and work as part of a team.
The preferred candidate will have three years of administrative assistant experience with extensive knowledge of Microsoft office and Google suite products, strong verbal and written communication skills and have strong organizational skills in handling detailed work with accuracy and speed.
Position requires possession of and the ability to retain a current, valid state-issued driver's license appropriate to the assignment. Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12.).
