SUMMARY STATEMENT # PURPOSE The Administrative Assistant is responsible for ensuring smooth operation of the departments he/she supports by performing a full range of secretarial duties and providing administrative support to the assigned Director(s) and any other directors/managers/others as designated# All employees are expected to be pleasant, respectful and courteous in all interactions with patients, families, staff, and visitors of the Institute, as well as being a positive representative of the hospital at all times. # MINIMUM QUALIFICATIONS Two years# experience as Administrative Assistant at upper organizational level setting. PREFERRED QUALIFICATIONS College or AA degree or a combination of education and experience with courses in Business, English and/or Communications. Experience in health care and/or medical terminology. # SPECIFIC PERFORMANCE RESPONSIBILITIES- Allfunctions are essential functions unless otherwise noted. Perform all routine clerical and secretarial duties such as answering and screening phones, taking messages, sorting mail, organizing and coordinating appointments and meetings, arranging travel, maintaining records and files, typing and composing correspondence, using computers and office machines, spreadsheet development and form design, and serving as a resource/support for other staff. Prioritize and complete multiple assignments with minimal supervision and direction, and keep Director(s) and/or Managers informed of status. Provides clerical support to committees (as assigned or requested) and department meetings including: agendas, notice sending, scheduling rooms and refreshments; and taking, typing, and distributing minutes. Draft, update, and monitor Policies and Procedures, and assist with any associated communication/ education as appropriate.# Assure that all impacted parties are notified and/or consulted as necessary. Maintain confidentiality for any administrative activities and patient information.# Maintain inventory of supplies and equipment for departments as assigned.# Is knowledgeable of the regulations of the Joint Commission, CARF and any other licensing or accrediting entity as applicable to the administrative function and policies of the department(s).# Assist with meeting those requirements and documenting the same. # Procure Purchase Orders and supplies as needed, including departmental bereavement and illness acknowledgements, awards/gifts, order entry repair requisitions, etc. Provide backup coverage for other administrative support staff and their departments, covering meetings as needed and maintaining continuity of the administrative office function. Process timecards as assigned.
