Description:Administrative Assistant Specialist position provides a full range of administrative duties in support of and reporting directly to the Director of LM Government Affairs, Space Programs.

Candidate selected will also perform duties as the Facilities Service Officer, FSO, responsible for all industrial security activities conducted at the Colorado Springs, CO field office. As FSO, candidate will manage the site security program while ensuring consistency with DoD and company security requirements and maintain liaison with Enterprise Operations security management. Develops and distributes security education and training materials and maintains the security education program.

Performs other related duties and assignments as required.

Maintains leader's Outlook Calendar to ensure efficiency and optimal use of leader's time. Manages leader's schedule to de-conflict and help prioritize meetings based on program and business needs.

Screens visitors to verify identity, control interruptions, and preserve leader's schedule.

Arranges meetings and conferences amenities, equipment and logistics; provides meeting back-up data as needed. If required, arranges for catering needs.

Arranges all travel and accommodations

Interfaces with program management and high-level customers. Partners and coordinates with Program, Line of Business and Space Administrative Team; proactively collaborates with a highly motivated, team oriented, and can-do spirit.

Demonstrates initiative, discretion and tact in managing email, telephone calls and other requests. Ensures all correspondence is accurate, complete and properly handled.

Utilizes computer and standard desktop software to access LM systems, compose correspondence, memos, reports, create spreadsheets and presentation charts; ensures finished documents are proofread; answers questions relating to office operations and established policies and procedures.

Assures administrative detail on all projects: updates and statuses delegated tasks to ensure progress to deadlines. Pursues opportunities to change or lean-out processes/approaches.

Performs additional special assignments as required in support of the Military Space staff and in support of the business rhythm.

Basic Qualifications:

Proficient computer skills and an advanced level of proficiency with Microsoft Office Suite of applications.

Multi-tasks effectively in a fast-paced and dynamic work environment.

Excellent interpersonal skills, both oral and written, and the ability to work well with all levels of internal management and staff, as well as external customers, clients and vendors.

Ability to coordinate complex travel arrangements, populate and reconcile expense reports.

Ability to handle confidential and sensitive information with the utmost discretion.

Project planning/management skills and project coordination experience.

Self-starter who can independently accomplish tasks; is proactive, flexible and takes initiative.

Working knowledge of industrial security requirements, including familiarity with the National Industrial Security Program. Candidate will have sufficient knowledge in order to be responsible for the leadership/conduct of internal security self-inspections and associated follow-up actions.

Candidate must have the ability to independently participate in Corporate/Government inspections / assessments. Some travel will be required.

This position requires access to export controlled information only US Persons (e.g. US Citizen, US permanent resident) may be considered for this position.

Desired Skills:

Minimum of four years related experience.

Bachelor's Degree or higher education

Familiarity with Lockheed Martin administrative tasks and systems, especially Concur, budget tracking/resolution and purchased supplies resolution (LM Purchase to Pay).

Active eligibility for reinstatement of final DoD SECRET level personnel security clearance

Previous experience handling classified materials

Working knowledge of the National Industrial Security Program Operating Manual (NISPOM)

Prior experience with the Joint Personnel Adjudication System (JPAS)

Prior experience as a Department of Defense (DOD) Facility Security Officer (FSO) or member of security staff

Ability to work within a team, including ability to prioritize tasks and manage time with limited supervision. Effective interpersonal and organizational skills.

Candidate must possess ability to maintain a high degree of confidentiality and must use diplomacy and discretion with customers, colleagues, and superiors. Must work comfortably with United States Air Force Space Command staff.

Efficient and effective communications skills (verbal and written).

Must have excellent written and oral communication skills, be a self-starter capable of independent work, a team player with strong interpersonal skills, and the ability to multi-task and handle multiple priorities. Interface with program resource managers and security personnel to develop in-processing and out-processing procedures for program personnel.
