Administrative Assistant, Small Unmanned Aircraft Office

KBR is seeking to hire an Administrative Assistant to a Military and Department of the Army Product and Deputy Product Manager. This candidate will provide highlevel, confidential

administrative support. Duties will be clerical, administrative, office management, schedule travel, arrange meetings, process information requests, prepare reports and correspondence and liaising with other senior level Military and Civil Service members. This position requires a high level of professionalism, discretion, and diplomacy.

Position Requirements:
Candidate must possess proven skill sets required to coordinate the activities of an executive office, is a selfstarter and can perform multiple tasks simultaneously. Candidate will perform a wide range of administrative and front office support activities for the department and/or managers and supervisors to facilitate the

efficient operation of the organization.

Duties of the position include but are not limited to the following:

  • Answer incoming calls, screen, determine purpose of call, and transfer call

  • Receive and direct visitors

  • Monitor visitor access

  • Maintain and organize Executive's calendar to ensure that she/he is prepared for any meetings

  • Schedule appointments

  • Maintain front desk procedures including contact information, directions and frequently requested information

  • Process queries and direct to appropriate office

  • Maintain electronic and hard copy filing system

  • Retrieve documents from filing system

  • Process requests for information and data

  • Resolve administrative problems and inquiries

  • Prepare written correspondence in accordance with the AR 2550

  • Prepare and modify documents including correspondence, reports, drafts, memos and emails

  • Schedule and coordinate meetings and appointments

  • Prepare travel arrangements in the Defense Travel System DTS, making travel, lodging, and rental car bookings

  • Maintain timekeeping in ATAAPS

  • Prepare travel book with agenda

  • Prepare agendas for meetings and prepare schedules

  • Record, compile, transcribe and distribute minutes of meetings

  • Open, sort and distribute incoming correspondence

  • Maintain office supply inventories

  • Coordinate maintenance of office equipment

  • Receive, sort and distribute mail

  • Problem assessment and problem solving

  • Information gathering and information monitoring

  • Other duties as required

Education and Experience Requirements

  • Education High School Graduate

Additional Requirements

  • Travel: May require travel up to 5%.

  • Clearance Requirement: Secret

  • Special Requirements:
    Applicants selected will be subject to a security investigation and must meet the minimum requirements for access to classified information.
