Job Description

We Are: In more than 100 laboratories, our scientists are conducting innovative research to advance understanding in the biological sciences and improve human health. The SKI Staff includes 400 research fellows, and 200 graduate students (both PhDs and MD/PhDs). SKI boasts many National Academy of Sciences members and Howard Hughes Medical Institute investigators.

You Will: The SKI Administrative Assistant provides administrative and operational support for the Administrative Managers, Principal Investigators, Program Coordinators and/or Core Heads to assure seamless support of an office of lab.

  • Perform routine administrative activities to maintain the smooth operation of the office and lab

  • Assist in the accurate preparation of complex documents and assist with the coordination and organization of timely grants submissions and similar projects

  • Answering phones, taking messages and directing calls on behalf of the office.

  • Maintain calendars, create agendas and fliers, and coordinate with visitors to maintain Managers or PI schedules

  • Complete reimbursement and invoice paperwork, and monitor expenses and payments

  • Updating websites and office documentation, proofreading and editing text, creating accurate and legible documents

  • Plan travel, events, seminars, and visits, and complete personnel-related paperwork for managers or lab members

You Have:

  • Flexibility, discretion, organization, and initiative

  • Ability to work proactively and independently, following up on projects

  • Careful attention to detail, ability to multi-task and strong interpersonal skills

  • Bachelor's degree strongly preferred with at least 1 year of administrative experience

  • Excellent Microsoft Office software skills (Word, Excel, PowerPoint, Outlook)

  • Superior verbal and written communication

  • Experience in a hospital or academic research lab preferred

  • Experience with Filemaker a plus

This position will perform diverse, advanced, and confidential daily administrative support duties. As a result, this assistant interacts on a daily basis with other senior level Wells Fargo leaders. Key Responsibilities The Administrative Assistant will provide a high level of professional support which includes a balance of senior level administrative work as well as ongoing ad hoc and project/business initiatives such as planning meetings, tracking deliverables and pulling routine reports. * Manage multiple calendars and travel arrangements, including but not limited to extensive meeting coordination; travel management, proficient use and navigation of all relative internal Wells Fargo systems. * Assist with the development and completion of client, media, or internal presentations including the development, editing, and/or distribution of team materials. * Effective coordination and tracking of sales and client activity and other various sales management reporting, effectively collaborating with WFAM colleagues as needed. * Prepare impactful PowerPoint presentations, including collecting necessary data to prepare. * Provide confidential, timely and swift support to team leadership on confidential needs for the team as directed including HR admin support, effective on-boarding of team members, internal tracking and management of team online training requirements, and sensitive handling of confidential information as requested. * Lead and/or coordinate other ad hoc projects as assigned. * Proficiently manage expenses and p-card processing support with limited errors and delays. * Complete all exec support tasks independently from conception to completion. * Display outstanding attention to detail, sound decision making and good judgment throughout tasks and priorities. * Represent team management with professional courtesy and acumen with all internal and external stakeholders. * Provide subject matter expertise on all internal policies, procedures and systems. * Ensure all tasks are completed with professionalism and within Wells Fargo policies and guidelines. * Provide excellent leadership and partnership with all other Administrative Assistants as well as colleagues across WFAM. * Perform special projects as requested.
