We are seeking a highly-organized and detail-oriented Administrative Assistant to support our client's team with various administrative tasks. The ideal candidate is proactive, has excellent communication skills, and can manage multiple priorities efficiently. This role plays a vital part in ensuring the smooth operation of our office and assisting team members with daily tasks.
Key Responsibilities:
- General Administrative Support: Provide comprehensive administrative support, including answering phone calls, managing emails, handling correspondence, and greeting visitors.
- Scheduling and Calendar Management: Coordinate and schedule meetings, appointments, and travel arrangements, maintaining calendars for team members as needed.
- Document Management: Prepare, format, and file documents, reports, and presentations; maintain organized electronic and paper filing systems.
- Data Entry and Record Keeping: Accurately input data into spreadsheets, databases, and software applications; maintain and update company records and contact lists.
- Office Coordination: Manage office supplies inventory, order supplies when necessary, and ensure a clean, organized workspace.
- Expense Tracking: Assist with processing invoices, reimbursements, and expense reports, working with accounting to ensure accurate record-keeping.
- Event and Meeting Preparation: Assist with the preparation of materials, agendas, and presentations for meetings; coordinate logistics for on-site and off-site events.
- Special Projects: Support various projects as needed, handling tasks from research to follow-up and execution.
Requirements
- Education: High school diploma or equivalent required; an associates degree or higher in business administration or related field is a plus.
- Experience: 2+ years of experience as an administrative assistant or in a similar role.
- Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office software and equipment.
- Strong written and verbal communication skills.
- Exceptional organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Discretion and confidentiality in handling sensitive information.
