The Executive Assistant provides advanced administrative support to executive leader(s). Manages complex projects and events. Manages the executive(s) calendar(s) functioning as an extension of the executive(s). Responsible for proactive management of issues with technical and professional responses that accurately represent the executive(s) and the office(s). . Manages mid to large scale projects and events.

An expert user of systems that may provide problem solving support to leaders and staff. May supervise other administrative professionals. Provides feedback and input to performance of others.


1.Provides advanced technical and professional administrative support by prioritizing appointments and meetings, producing documents for leaders based on priorities. 2. Assists executives with meeting management.

Manages complex calendar reprioritizing appointments as needed to address unfolding developments. 3. Collaborates with leaders/staff to defines, document and maintain clear, well-defined processes. 4. Manages divisional/departmental projects. 5.

Produces accurate and professional correspondence, reports and presentations that adhere to branding and marketing guidelines. 6. Analyzes problems, interprets operational needs, and collaborates with leaders to develop solutions. 7. Manages events on and off site.

Coordinates logistics for venues, management of vendors, conference room selection, catering, AV, and telecom needs etc. meeting budget and schedule expectations. 8. Develops and distributes meeting materials, agendas, and meeting notes. 9. Arranges executives travel, creates itineraries for client/candidate visits and/or event speakers/participants. 10.

Follows finance protocols and policies accurately to process reimbursements, purchase orders, track invoices and problem solve accounting issues as needed. 11. May orient and coach other Administrative Professionals (AP) across the organization and/or lead committees specific to AP work. 12. Assists with various other duties as assigned


1.Bachelors degree preferred; 5 years supporting senior leadership and/or faculty required. 2. Business or healthcare experience improving work flows in a complex and fast changing environment. 3.

Expert Outlook Calendar skills to manage multiple Outlook calendars simultaneously. 4. Strong proficiency in Microsoft Word, Excel, and PowerPoint. 5. Solid organizational and time management skills with the ability to prioritize work. 6.

Proven ability to effectively manage self and others through ambiguous situations. 7. Must be detail oriented with the ability to successfully manage multiple, deadline driven priorities with minimal direction and accuracy. 8. Adept in creating complex documents, presentations, spreadsheets, reports, and business correspondence. 9.

Proactive thinker; ability to anticipate and prepare ahead of need. 10. Ability to provide high level of quality customer service to employees, leaders, patients/families and external vendors. 11. Project management experience a plus.

VIEW JOBS 1/14/2021 12:00:00 AM 2021-04-14T00:00 Overview The Administrative Assistant performs a wide range of administrative support responsibilities for leaders to help facilitate the efficient operation of the Unit/Department/Division. Responsibilities 1. Provides general administrative support to leaders. 2. Schedules and maintains calendars, meetings and travel itineraries, as needed. This may include inpatient or service call, outpatient clinics, and academic schedules. 3. Handles telephone calls and visitors; troubleshoots and resolves routine and some complex inquires. 4. Organizes electronic and hard copy filing system, scans documents to appropriate locations, and maintains divisional files. 5. Receives clinically related messages, phone calls, or correspondence and routes to the appropriate care team. 6. Maintains provider credentialing activities which may include academic resume, professional memberships, and licensure. 7. Prepares and modifies documents including correspondence, reports, drafts, memos and emails using MS Office Suite of applications. 8. Opens, sorts and distributes incoming electronic and paper correspondence. 9. Prepares and distributes minutes of meetings, as needed. 10. Maintains, orders and distributes office supplies, as needed 11. Proactively manages submission of reimbursements for approved faculty and staff expenses. 12. Performs other job functions as assigned. Clinical Job Functions: 1. Schedules appointments and procedures for clinical staff. This may include outpatient office appointments, outpatient and inpatient surgical procedures, and ancillary testing. 2. Procurement or dissemination of medical records, prior authorizations, and/or primary care referral information as needed to assure a successful clinical encounter. 3. Coordinates complex patient visits involving multiple departments and providers, including appointments at affiliate organizations and outreach sites. 4. Partners with central scheduling and registration teams to manage, via work queues or other methods, lists of patients in need of services. 5. Functions as liaison between patients, families and the clinical team. Assists families in navigating the Lurie system. This could include working in clinic, meeting with families to go over appointment scheduling visits and coordinating with ancillary departments. 6. Collaborates with central registration to ensure patients have updated insurance information, prior authorization is initiated in advance of the rendered service, and referrals are obtained if appropriate. Qualifications 1. High school diploma or equivalent required. 2. A minimum of two years general office or administrative experience preferred. Hospital or physician office experience preferred. 3. Proficiency in Microsoft Office Suite applications. 4. Ability to operate standard office equipment and resolve standard problems. 5. Excellent communication skills � written and verbal. 6. Ability to prioritize projects and strong problem solving skills. 7. Demonstrated attention to detail, accuracy, and discretion. 8. Ability to provide high level of quality customer service to patient/families, employees, leaders, and external vendors.
