Responsibilities

  • Act as a liaison between RECORDS and a wide array of internal and external contacts including senior management, outside industry contacts, artists, artist managers, vendors, internal departments, etc.

  • Schedule meetings, arrange travel, answer phones, and provide overall administrative support to the team.

  • Prepare business expense reports in a timely, accurate and efficient manner.

  • Oversee general office needs, including maintaining adequate office supplies; distributing daily mail, and maintaining subscriptions for trade publications.

  • Help coordinate promotional trips, travel, work orders and more for artists.

  • Coordinate food orders for meetings and events.

  • Maintain database of artist management and booking contacts.

  • Keep current with buzz artists, see artists perform live, and listen to music to identify opportunities.

  • Remain knowledgeable and up-to-date on daily Billboard, Soundscan, BDS, R&R, Mediabase, and other trade magazines/publications for music news and relevant information.

  • Analyze sales, marketing, radio, and insights information.

  • Help maintain social media accounts for RECORDS.

Qualifications

  • The ideal candidate has a minimum of 1 year of prior administrative experience. Experience at a label is preferred.

  • Strong computer skills including MS Office (Word, Excel & Outlook).

  • A proactive, flexible, self-starter who has strong problem solving, social, writing and interpersonal skills.

  • Exceptional communication and time management skills.

  • Must be able to work independently but be a team player and flexible in a fast-paced environment.

  • The ability to manage time and priorities, set and achieve goals and juggle multiple projects/deadlines simultaneously.

Job Overview: Macy's, Inc. is seeking qualified candidates for Administrative Assistant – Law position located in New York City. This candidate will provide daily support on administrative and legal matters for several attorneys as well as perform local office and department-wide administrative duties. Perform other duties as assigned. Essential Functions: * Use Microsoft Office products to prepare and edit documents (memos, letters, agreements, templates, etc.) and to build and/or maintain presentations, spreadsheets, and reports. * Perform tasks and manage administrative processes related to legal matters such as drafting and preparing correspondence, Records Preservation Notices, email litigation holds, severance agreements, etc. * Work and communicate well with all levels of internal stakeholders and staff, as well as third parties such as HR executives, federal, state and local agencies, and opposing counsel. * Develop and maintain internal corporate relationships in order to execute assigned job duties (e.g., Expense Payable, Payroll, Travel). * Demonstrate accountability for assignments and attention to detail. * Maintain office budget and order replacement supplies as needed. * Proactively follow up on assignments with other employees to ensure deadlines are met. * Maintain attorney calendars, which include arranging commitments, scheduling meetings, responding to invitations, and working through scheduling roadblocks. * Set-up conference calls; answer and place telephone calls. * Make travel arrangements and submit receipts using expense reporting system. * Effectively prioritize work assignments from multiple sources and individuals. * Set-up and maintain hard copy and electronic files and complete attorney filing. * Manage incoming and outgoing communication (mail, fax, and e-mail); scan and copy documents. * Monitor and maintain information within the timekeeping and billing program (Tymetrix). * Complete special projects as assigned. * Regular, dependable attendance and punctuality. Qualifications: Education/Experience: * Minimum of a high school diploma or equivalent is required, Associate's or Bachelor's Degree preferred. * 3-5 years of administrative experience required. * Proficient in using Microsoft Windows (e.g., Word, Excel, PowerPoint), Outlook and the Internet. Communication Skills: * Excellent interpersonal, written and verbal communication skills. Mathematical Skills: * Basic math functions such as addition, subtraction, multiplication, and division. Reasoning Ability: * Must be able to work independently with minimal supervision. * Ability to work under pressure and handle and prioritize multiple projects. Physical Demands: * This position involves extended periods of sitting and the extensive use of computer and the office equipment. * May involve stooping, kneeling, or crouching. * Involves close vision, color vision, depth perception, and focus adjustment. * May involve occasional lifting up to 20 lbs. Other Skills: * Professional demeanor and countenance. * Extremely dependable, with the ability to handle confidential information.
