Providence is calling an Administrative Assistant (Medical Staff Services, Days, 1.0) to Providence St. Mary Medical Center in Walla Walla, Washington. In this position you will:

  • Consistently demonstrates adherence to the principles and requirements outlined in the Commitments and Compliance Integrity Program and any other organization or departmental materials related to compliance with laws, regulatory requirements.

  • Consistently demonstrates adherence to Medicare and Medicaid regulations which directly or indirectly relate to the performance and job expectations.

  • Actively participates in departmental and organization performance improvement activities in accordance with hospital and regulatory standards.

  • Demonstrates leadership by performing his/her work in a manner that meets or exceeds the level of care and service that PSMMC promotes to the communities we serve.

  • Participates in hospital and department specific practices to maintain a clean, safe and comfortable environment for patients and staff.

  • Maintains the security and confidentiality of data and information used in performance of his/her daily duties conforming to hospital policy, laws and regulations as appropriate.

  • Follows established policies and procedures to identify and reduce the risks of acquiring or transmitting infection.

  • Maintains positive working relationships and fosters a cooperative work environment.

  • Communicates clearly and appropriately using age specific standards with patients and families of patients.

  • Communicates in a professional and appropriate manner when interacting with colleagues, supervisors, peers, physicians, etc. Friendly, positive customer relations required.

  • Provides clear, concise, pertinent reports/information.

  • HUMAN RESOURCES:

  • Employee completes all tasks and duties accurately and timely within assigned shift. Demonstrates initiative to perform job duties autonomously.

  • Attends mandatory and other education offerings per department and hospital requirements. May assist with education on the unit.

  • JOB SPECIFIC FUNCTIONS:

  • Provides general support to Providence Medical Group COO and Chief Executive; i.e., schedules meetings, arranges travel, processes reimbursements.

  • Maintains calendar/appointments and coordinates materials for meetings as requested.

  • Provides accurate and efficient typing support, composes correspondence, transcribes minutes of various meetings.

  • Greets and screens hospital personnel, medical staff, patients, patient families and all others coming into or calling Administration.

  • Maintains orderly and accessible files. Assists with updating files yearly and preparing old files for storage.

  • Schedules rooms and prepares and distributes agenda materials for various meetings.

  • Provides back up for Executive Assistant as needed including ED physician timecards.

  • ED/Anesthesiology CME Budget/Reimbursement.

  • Receives and distributes service recovery documents and supplies.

  • Creates, executes and manages contracts/service agreements in Administration and Selectica.

Required qualifications for this position include:

  • 2 years of experience as a secretary.

In this position you will: * Greet and prepare patients for the practitioner * Obtain and record vital signs and other appropriate information, such as height, weight, presenting problem, and other medical information * Ensure confirmation of patient identity with each patient encounter * Document all interactions in patient's medical record * Under the delegation of a licensed practitioner and as appropriate per role and certification, obtain specimens, perform required testing, administer medications via oral, topical, otic, ophthalmalogic or inhaled routes; administer vaccines including combination or multi-dose vaccines * Under the delegation of a licensed practitioner, assist or perform point of care tests and clinical procedures as appropriate to scope of role and certification * Reinforce patient education, materials, and lab results (normal); return phone messages; all as directed by the licensed practitioner * Follow correct procedures for handling and disposing of biohazards, infectious, and pharmaceutical waste Required qualifications for this position includes: * High school diploma or GED equivalent or graduate of accredited school for medical assistants or alternate training program * Active MA-I, or MA-C in state of WA or incumbent must obtain MA-R certification within 60 days of being hired * If in Active Interim Certification Status (MA-I), incumbent must pass one of the following exams within 180 days of hire: AMCA, AAMA, AMT, NHA, NCCT, or NAHP * Current BLS - Must be AHA accredited * Medical assisting experience in a clinic setting (0-6 months) Preferred qualifications for this position includes: * 6 Months previous experience providing a high level of customer service in a fast paced environment * 6 Months previous experience in a healthcare setting working with an Electronic Health record (EHR) About the clinic you will serve.
