Providence is calling a Administrative Assistant, (Full Time/Day Shift) to Providence Little Company Of Mary Torrance Hospital in Torrance, CA.

We are seeking a Administrative Assistant who will assists the Director of Consolidated Laboratory and, as requested, the laboratory management team, and provides administrative support for the Consolidated Laboratory Department. The Administrative Assistant initiates actions on their behalf with appropriate coordination and direction. Work requires independent judgment and effective communication skills.

In this position you will have the following responsibilities:

  • Act as a receptionist for all guests for the administration

  • Schedule and confirms all meetings in Administration

  • Assemble packet information for meetings

  • Obtain appropriate information when scheduling meetings for Administration

  • Main point of contact for scheduling conference rooms and assisting with setup

  • Comply with hospital, department and unit standards including, but not limited to, safety, infection control, quality management, environmental, confidentiality, and patient care

  • Support and carry out the Core Values on a daily basis, by practicing the Service Excellence Standards

  • Work closely and cooperatively with the Director of Consolidated Laboratory and the management team to support quality improvement activities, preserving the confidential nature of certain tasks and knowledge

  • Perform data entry for current QM surveys in an error free manner (99%)

  • Responsible for assembly of material and data for quality improvement and compliance tool kits, in a timely manner

  • Handle word processing of documents, forms, reports, and all projects in a timely manner as directed

  • Maintain Consolidated Laboratory manuals including but not limited to: Administrative Policy and Procedure Manual, Performance Improvement Manual and other laboratory manuals, as assigned

  • Participate in orientation, education and development of team members as directed by supervisor

  • Participate in appropriate continuing education as may be requested and/or required by immediate supervisor

  • Accept personal responsibility for other educational activities to enhance job-related skills and abilities

  • Establish and maintain positive working relationships with employees and other customers

  • Participate in the Performance Improvement Program and participates in and adheres to the LCMHS Corporate Integrity Plan

  • Follow Core Value for being financially prudent

  • Perform other duties as requested by the Director of Consolidated Laboratory

Required qualifications for this position include:

  • H.S. Diploma or GED

  • Ability to deal effectively with many people across a broad range of cultural backgrounds and ages

  • Ability to work independently with little or no supervision.

  • Proficient in P.C. software applications including, Microsoft Word, Excel, PowerPoint, Outlook, etc.

  • Ability to prioritize, organize and coordinate work

  • Ability to work effectively with many people at various levels of the organization

  • Excellent oral and written communication skills

  • Ability to handle multiple tasks and appropriately prioritize

  • Ability to clearly communicate with internal and external customers, including, but not limited to, patients, co-workers, management, physicians, and visitors

  • Ability to maintain patient confidentiality and privacy in accordance to hospital policy

  • Knowledge of established professional scheduling concepts, principles, and practices

  • Demonstrates knowledge of business machines and medical terminology


Preferred qualifications for this position include:

  • Minimum of two (2) years directly related experience

We are seeking a Administrative Assistant Home Based Palliative Care who will be responsible for the coordination and maintenance of the day to day administrative and clerical operations of the home-based palliative care team, under the direction of the Patient Care Manager. In this position you will have the following responsibilities: * Treat all hospice/ home-based palliative care employees, contractors, patients/families and customers with dignity, respect, compassion and tolerance to ensure a high quality, financially prudent system of support for the provision of Home-based palliative care services to patients and their families * Demonstrate awareness of and sensitivity to patients' rights in all interfaces with patients and families * Responsible for triaging calls to the home-based palliative care team with timely referral to appropriate staff members * Communicate effectively in an open and straightforward manner, including listening skills, and by accessing the appropriate chain of command * Provide high quality administrative and secretarial support to the Patient Care Manager * Make initial contact with hospice ancillary team members after referral by the Interdisciplinary Group (IDG) and under the direction of the Patient Care Manager * Participate in Team Meetings and Support Staff Meetings * Maintain productivity standard as set by organization guidelines * Assist the Patient Care Manager in implementing office-related policies and procedures for the team * Regularly reviews and evaluates existing clerical processes and revises as necessary with the approval of the Patient Care Manager * Coordinate or assist with scheduling of various team meetings as needed to include contacting necessary individuals, reserving time and space, and notifying appropriate staff regarding meeting place and time * Meet regularly with the Patient Care Manager to review and discuss office activities * Present job-related issues and concerns to the Patient Care Manager for collaborative resolution * Documentation / Information Management: * Obtain all pertinent data and referral information on newly referred patients and distributes data to appropriate team members * Initiate preliminary medical record for all patients referred to team. Holds chart pending admission * Receive admission paperwork and reviews for completeness. Logs incomplete paperwork by staff member and follows up to ensure that all paperwork is complete within 2 working days of admission.Reports delinquencies to Patient Care Manager weekly. * Enter patient admissions in database, updates census and distributes status changes to data entry and business office. * Copy and distributes handwritten Plan of Care to the Primary RN, MSW and Chaplain within 2 days of patient admission * Enter patient Plans of Care and medication profiles into the database within 1 day of receipt and forwards to Patient Care Manager for review. Make corrections as required by Patient Care Manager and forwards preliminary chart to Medical Records within 5 days of admission * Assure that all medical record documentation is complete prior to forwarding to Medical Records * Track Certification of Terminal Illness forms and Plans of Care for all patients admitted to the program for the team to ensure timely return of signed and dated documents that are compliant with state and federal regulations * Forward newly signed supplemental orders to the Patient Care Manager for revision of the Plan of Care medication profile * Enter admissions, discharges, supplemental orders and care plan amendments into the database in a timely manner to assure access by triage personnel * With Patient Care Manager's review and approval, forwards supplemental orders to Data Entry for input * Complete discharge list upon receipt of triage report. Makes all notifications and forwards status change to Medical Records, data entry and business office. Enters discharges into database * Make daily follow-up calls to HMOs/private insurance companies reporting patient deaths/discharges * Complete and submit to the Patient Care Manager appropriate reports which include, but are not limited to, hospice team statistical reports, weekly census, recertification lists, managed care reports, outstanding CTIs and Plans of Care, and other tracking forms * Track staff credentials to ensure compliance with agency Human Resources standards and state and federal regulations * Leadership / Supervision: * Participate in orientation, education and development of team members as directed by supervisor * Development: * Participate in appropriate continuing education as may be requested and/or required by immediate supervisor * Accept personal responsibility for other educational activities to enhance job-related skills and abilities * Performance Improvement: * Participate in the Performance Improvement Program and participates in and adheres to the TrinityCare Hospice Corporate Integrity Plan * Budgetary: * Order medical equipment (DME) for delivery or pick-up for patients and tracks same to ensure compliance with DME contractual agreement * Seek to complete tasks within regular workday to eliminate overtime unless authorized by the Patient Care Manager * Follow Core Value for being financially prudent * Other Duties as assigned within the general scope of job, training and Licensure * Participate in team related projects,surveys, and other information gathering activities as requested Required qualifications for this position include: * Education to meet certification, license or registration requirement * Must be a California licensed driver * Insured in accordance with state and/or Trinity Care Hospice requirements * Minimum of three (3) years of experience in home care or hospice in support staff activities * Demonstrate pleasant telephone manner, with good oral and written communication skills * Demonstrate good computer and typing skills * Possess ability to work under pressure * Automobile that is in good working order About the hospital you will serve.
