The Administrative Assistant provides administrative support to the Vice President, Product Management & Support. Duties include, general clerical and project based work that comes from the Call Center, Product Management, Compliance & Software QA. Projects a professional company image through in-person, phone and email interaction.
Serves as assistant to Vice President, Product Management & Support and departments that are overseen, which include Compliance, Software Quality Assurance, Product Management & Call Center.
Assists with compliance document preparation. Compiles and initiates compliance paperwork for new projects. Files compliance information and updates with the appropriate agency.
Operates necessary office equipment such as telephone, calculator, copier, CMS, etc.
Generate purchase requisitions for monthly fees and invoices relating to applicable business.
Maintain filing and executing all DMP 3rd party integrations as directed by VP, Product Management & Support.
Assist in daily maintenance of parts and prices on DMP buysite.
Assist in creation and maintenance of all new engineering bill of materials into CMS.
Assist in creation and maintenance of EDI parts & prices.
Serves as UPC admin to verify all new products have proper code assigned and is communicated to manufacturing.
Works with Product Management to make products active & sellable within CMS system.
Provides information management support, implements administrative systems, provides office services, and represents the Vice President, Product Management & Support. Arranges, participates in, and transcribes as directed, conferences and meetings.
Locates and compiles information and formats reports, graphs, tables, records and other sources of information. Assembles and categorizes facts and figures for written computation and calculations. Preserves information confidentiality as required.
Observes DMP Mission Statement, values, and company policies. Finds processes that create improved efficiency while maintaining conformance to requirements. Acknowledges responsibility to satisfy the customer, reduce cycle time and eliminate waste.
Performs other duties as assigned. Job duties are subject to change as directed by management.
High school education supplemented by training in business, computer skills & office procedures.
Excellent telephone and public relations skills, ability to handle pressure, and typing skill of approximately 50 w.p.m.
Ability to keep sensitive information in confidence. Ability to accurately follow detailed instructions.
Sense of urgency to complete the task at hand. Good follow-up skills. Ability to perform clerical duties with speed and accuracy.
Demonstrated oral and written communication skills. Ability to accept and benefit from constructive criticism.
Knowledge of current office methods and procedures, filing, telephone techniques and office equipment, as well as English usage, spelling and punctuation. Experience with the use and definition of computer spreadsheets and word processors.
Punctual, have a good work attitude and work cooperatively with others in the department and company.
Flexible with scheduling. Ability to work in a non-smoking work environment.
Demonstrated excellent attendance (96% minimum).
