The Community Justice Department is seeking an ADMINISTRATIVE ASSISTANT to join their team. This position performs advanced level clerical and administrative support duties for the Community Justice Department to support pretrial services programs.

Performs front desk reception; receives, screens, and routes telephone calls; provides directions to walk-in visitors to find appropriate departments and personnel and manage shared email accounts. Responds to requests for information by the public, office staff or other departments.

Routes client documents, performs data entry and uploading of documents. Processes, tracks, files and maintains correspondence from clients, court partners and the general public. Performs some aspects of client intakes, staff travel arrangements, training schedules and preparations.

Processes and tracks information, creates spreadsheets, and word documents. Composes and prepares correspondence, reports, and forms from source material. Plans and prepares special events, meetings, and trainings; prepares and disseminates agendas, meeting minutes, daily mail, and other information.

Picks up and delivers mail; completes forms and applications; and accurately maintains files. Maintains an inventory of office and other supplies. Researches products and pricing; orders supplies, and equipment as required or directed; verifies accuracy of orders.

Schedules appointments with program participants, staff in various city and county departments, and with local service providers. Responds to requests for information by the public, office staff or other departments. Maintains public records and files; may prepare payroll forms and processes claims; monitors budget expenditures.

Assists in obtaining and compiling information and data for use in special reports and presentations; may conduct research on assigned subjects. Uses technology including content management systems, agenda management systems, video and recording systems, and spreadsheet and database applications to process and track information, provide information to the public, prepare reports, create graphs and charts; uses desk top publishing application to create brochures, write newsletters and other publications. Provides technical assistance to employees on office procedures; acts as a liaison between department officials, other employees and the general public; attends meetings as departmental representative as directed. May present information in public meetings.

  • Requires high school graduation or GED.

  • Requires two years of secretarial/clerical work in an office setting.

  • Requires experience providing customer service over the phone and face-to-face.

  • Requires experience in word-processing, and data entry.

  • Experience working in the criminal justice system preferred. 

  • SPECIAL REQUIREMENTS: Must pass a criminal history background check.

The work is commonly performed in an office setting with a considerable amount of time using a computer keyboard.  May require occasional light lifting (up to 20#). Requires attendance at meetings outside the workplace; may require attendance at meetings outside normal business hours.
