We are seeking a skilled and experienced Administrative Assistant to provide administrative support to multiple Division Managers. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently in a fast-paced environment.

Performs a variety of administrative task such as but not limited to the following:

In this position, you will:

  • Maintain confidentiality and handle sensitive information appropriately.

  • Prepare and submit accurate expense reports on a timely manner.

  • Provide timely communication support for the Team.

  • Contribute to merging teams and facilitating seamless collaboration.

  • Proactively manages the calendar of multiple executives effectively; resolving conflicts that arise in a professionally manner.

  • Assist with special projects and initiatives as assigned.

  • Creates presentations for various business units as required.

  • Coordinates and facilitates meetings, and/or special events, as appropriate.

  • Perform vendor onboarding in ARIBA by managing the approval of vendor contracts, SLAs, negotiate fees/pricing, etc. to address business unit's considerations. Process reimbursements, vendor payments submitted.

  • Serves as liaison to screen vendor, supplier, and partner requests. Reviews and properly channels those requests internally.

  • Assimilate data into effective and efficient communication reports, delivering concise, accurate, and timely reports on operations data and metrics.

  • Research and respond to inquiries from unit management, customers, and other stakeholders.

  • Prepares correspondence, memoranda, screens telephone calls and visitors, distributes minutes of meetings and reports.

  • Coordinates with administrative staff regarding general business office activities to ensure proper staff planning and scheduling to avoid disruption.

  • Ensure that required equipment and materials are available, appropriately located, and working to properly to ensure efficiency of group.

To be considered, you will need:

  • College degree preferred or a minimum of five years' experience in related field.

  • Bilingual Spanish is required.

  • Effective organizational, oral and written communication skills

  • Strong understanding and application of administration activities.

  • Strong communication and interpersonal abilities

  • Proficiency in Microsoft office suite (Word, Excel and PowerPoint outlook).

  • Ability to multitask, time management, prioritize tasks and work independently with minimal supervision.

  • Attention to detail and accuracy.

  • Ability to establish and maintain effective work relationships both internally and externally.

Salary Range Information

Our base salary for this position located in New York City generally ranges between $31.00 and $37.00 hourly, depending on business need and on your qualifications and experience. Base salary does not include incentive compensation, commission, or any other type of remuneration or benefits. Base salary may vary if position is based in other geographic locations.
