Responsibilities:

The Administrative Assistant will support the office staff by coordinating office services, such as personnel, budget preparation and control, housekeeping, record control and special management studies. Administrative Assistant will ensure that the team is kept apprised of meetings and compliance deadlines, maintain confidential files, coordination of personnel records, facility requirements and licensing regulations.

The duties are summarized as:

  • Studies management methods in order to improve workflow and reporting procedures

  • Types correspondences, reports, memoranda, proposals and financial statements

  • Maintains materials from the master files, classifies material, prepares and creates new file folders as needed

  • Answers telephones, refers calls and distributes messages to respective parties. Schedules appointments and meetings

  • Coordinates collection and preparation of operating reports, attendance records, termination, new hires and budget expenditure

  • Works with VOALA Corporate office to coordinate purchasing procurement, accounts payable and personnel.

  • May assist in training and overseeing monitors, volunteers and/or interns.

  • Coordinate services, such as building repairs, supplies, and distribute mail

  • Other duties as assigned

Requirements:

Education:

  • High school diploma or GED

Experience:

  • Minimum of 2 years' experience in an administrative office environment

Special Skills Required to Perform this Position:

  • Knowledge of office procedures and basic budgeting principles

  • Intermediate knowledge of Microsoft Outlook, Word, and Excel 2010

  • Ability to compose correspondence and reports

  • Working knowledge of correct English grammar, spelling and punctuation

  • Effective written and oral communication skills

  • Valid California driver's license, insurance, and reliable transportation

Preferred Skills for this Position:

  • Bilingual (Spanish) preferred

Responsibilities: * Conducts comprehensive screenings and assessments to collect information needed to develop a case plan. * Link clients to mainstream benefits and supportive services for housing, health care, domestic violence. * Provides assistance and linkages for homeless individuals and maintains case load. * Develops goals and timelines for service delivery in accordance with requirements * Maintains documentation for caseload of 25 or more clients with respect to activities and progress to goal satisfaction * Completes weekly case conferencing with Program Manager, and maintains complete and accurate documentation of services in accordance with federal, state, county, and VOALA guidelines * Meets with clients on a regular basis to establish goals, and action steps towards those goals, and to monitor and assess progress toward achieving housing goals * Develops and maintains inter-agency and community relationships with providers of supportive services within and outside of VOALA * Maintains strict confidentiality of employee, client, company, and vendor data, as well as handling sensitive and critical information with professionalism and discretion * Other duties as assigned Requirements: Education: * Bachelor's degree in social work or related field preferred or equivalent work experience in lieu of degree Experience: * Minimum 1 year experience working with homelessness or other related social services * Ability to develop relationships with families as well as a variety of service stakeholders and community providers (schools, health and public benefit agencies.) * Excellent oral, written, organizational, and motivational skills * Provides a social and emotional culture that supports and builds teamwork through a solution oriented approach; works constructively through any site conflicts Special Skills Required to Perform this Position: * Knowledge and experience working with public housing authority voucher and flexible subsidy pool programs * Knowledge of domestic violence, poverty, and federally funded mainstream programs such as General Relief, Social Security Disability * Proficiency with Microsoft Office * Effective written and oral communication skills * Valid California driver's license, insurance and reliable transportation * Successful completion of tuberculosis and background screening Preferred Skills for this Position: * HMIS database experience strongly preferred * Proficiency with Microsoft Office * Bilingual (Spanish) preferred Volunteers of America is an Equal Opportunity/Affirmative Action employer.
