Job Summary

The Administrative Assistant will be the primary support assisting with admin functions in the People Operations (Human Resources) department. This will include scheduling meetings, coordinating with multiple teams and departments, managing calendars, and helping with various projects such as filing, scanning, and organizing employee records, and more. They will have the ability to quickly learn about the specialized functions and organizational structure of the Company.

Duties & Responsibilities

  • Work with and directly support the People Operations team.

  • May maintain, update and communicate weekly recruiting reports

  • Effectively deliver on ongoing department projects

  • Scheduling meetings, organizing calendars, room reservations, reporting and other duties as assigned.

  • Assist with recruiting admin functions as needed.

Education & Relevant Experience

  • High School diploma or equivalent
  • 1 3 years' demonstrable and successful People Operations administrative work experience is highly preferred

ESSENTIAL DUTIES AND RESPONSIBILITIES: * Answers incoming calls and welcomes on-site visitors. * Provides information by answering questions and requests. * Communicates regularly with vendors, plant employees, plant management and the Corporate Office. * Keeps management informed by preparing reports, and monitoring and distributing them as needed. * Performs accounts payable function including account coding, vouchering and processing invoices for payment. * Reconciles vendor statements to ensure all invoices have been paid and follow due dates. * Ensures operation of office equipment by completing preventative maintenance requirements and or calling for repairs. * Maintains proper documentation for files. * Sorts and distribute mail and faxes for department. * Insures fair, equitable and respectful treatment of all employees. * Contributes to team effort by accomplishing related results as needed. * Maintain the professional appearance of the lobby area. * Other duties as assigned by Supervisor. Fluent in oral and written communication in English. * Strong computer skills, including Microsoft business applications and various reporting software. * Exceptional interpersonal communication skills. * Must be 18 years or older * Pass a background and drug test. * Must be able to provide own transportation to various locations in organizational service areas, as required by duties.
