Here's how an Administrative Assistant for our Orlando District Office will contribute to our team:

  • Supporting members of the Estimating Department as assigned with administrative tasks, including schedule management, presentations, reports, etc.

  • Assisting with compiling, updating, and printing or electronic maintenance of files for various reports/manuals as needed. Photocopying as required.

  • Providing accurate Word, Excel, and PowerPoint support by composing and/or editing a variety of documents, spreadsheets, and presentations, including minutes, memoranda, contracts, proposals, spreadsheets, and presentations.

  • Assisting with organizing meetings and/or special events including arranging for catering, locations, and distribution of information.

  • Answering phones and taking messages for manager, department, or team members.

  • Creating and maintaining templates (for forms, letters, tracking spreadsheets, etc.) and spreadsheets, databases, documents, and presentations.

  • Sending/receiving/distributing important documents via e-mail USPS, FedEx, UPS, courier, and fax.

  • Maintaining and updating Bid solicitation database: uploading documents for solicitation, issuing correspondence through the system, updating contact information.

  • Assisting with the Prequalification Management process.

  • Assisting with the bid preparation process as required.

  • Maintaining and updating SalesForce database.

What you will bring to the role:

  • 3 - 5 years of experience in an administrative role

  • Intermediate skills in Word and Outlook

  • Ability to create, edit and format documents. Beginner skills in Excel, ability to create simple spreadsheets and edit data

  • Excellent verbal and written communication skills, proofreading and grammar

  • Self-management skills to plan, organize and prioritize tasks with conflicting deadlines

  • Service oriented approach internally and externally

  • Professionalism when dealing with PCL employees and external contacts

  • Knowledgeable in department/project specific software

  • Knowledge of what information is confidential, and the discretion required

  • Ability to ask the right questions to the right people in order to find the answers as quickly as possible

  • Construction experience is a plus

PRIMARY PURPOSE: To provide administrative support including preparing correspondence and reports, filing, and other general office support activities. ESSENTIAL FUNCTIONS and RESPONSIBILITIES * Produces correspondence, reports, and other documentation; files documents, maintains and tracks suspense file, photocopies, sends and receives facsimile transmissions, etc. * Provides back-up telephone support. * Processes invoices and billings; maintains records. * Maintains unit attendance records, library and/or manuals. * Records meeting minutes. * Makes travel arrangements. * Maintains adequate supply inventory; orders supplies as needed. ADDITIONAL FUNCTIONS and RESPONSIBILITIES * Performs other duties as assigned. * Supports the organization's quality program(s). QUALIFICATIONS Education & Licensing High school diploma or GED required. Experience One (1) year of experience in general office administrative duties or equivalent combination of education and experience required. Experience with an insurance company, broker or consultant preferred.
