The Administrative Assistant performs duties to include answering and screening telephone calls, typing, filing, maintaining files and scheduling appointments for patients and all other duties pertaining to patient scheduling.

Essential Functions:

  • Provides administrative/secretarial support for department including but not limited to calendar mgmt., maintaining and coordinating clinical patient appointment calendar.

  • Provides all necessary information to patients, parents, and/or designated family members using understandable and correct terminology within the scope of a non-clinician to ensure that their needs are met.

  • Ensures that the appropriate insurance information and demographic are on-file, verified and updated with every visit; taking the appropriate steps to escalate patient financial matters when needed. (ie. single case agreements, peer-to-peer reviews etc.).

  • Monitor monthly billing reports to ensure that all completed procedures are accounted for and communicate to the billing office any discrepancies.

  • Prepares memo, office correspondence, transcribes and support other admin functions upon request.

  • Provides back up coverage for other office assistants when necessary.

  • Tracks and maintains PCMH information, billing and other activities in excel reports for submission upon request.

Requirements:

  • High School Diploma required, Associates degree preferred or other offsetting experience directly related to the responsibilities.

  • 3-5 years of increasingly responsible administrative assistant experience.

  • The position requires problem-solving skills and the ability to handle matters of an extremely confidential or sensitive nature.

  • Demonstrated proficiency in Microsoft Office Suite, with advanced experience in file management, and other automated systems applications.

  • Demonstrated skill in handling multiple, highly confidential, politically sensitive, or community related issues in a professional and ethical manner.

  • Strong communication skills, able to communicate with senior level management, external executives and community leaders.
