The Administrative Assistant models effective facility leadership; possesses proficient managerial, time management and organizational skills for working with issues related to the administrative duties of facility and other related business needs.


Bachelor's degree or equivalent experience is recommended. The Administrative Assistant must demonstrate human relations and effective communications skills. He or she must be able to learn and understand federal and state regulations and financial aid procedures that are critical elements to this position.


The Administrative Assistant implements a customer-focused financial aid plan that supports the Paul Mitchell Schools' culture, the admissions process and service in the school, and its Future Professionals. He or she demonstrates integrity, ethical behavior, and a high level of confidentiality in recognizing and working with confidential information and records concerning the personal finances of Future Professionals.

Skills/Competencies Required:

  • High School Graduate or equivalent, business school and or college courses

  • At least 3+ years leadership/management experience

  • Strong written and verbal communication skills

  • Demonstrated proficiency in leadership and business

  • Passion for the beauty industry and people

  • Honesty and professionalism

  • Solid work history with verifiable references

  • Must have good interpersonal communication skills

  • Proficient organization skills

  • Strong Accounting, QuickBooks and Bookkeeping skills

  • Experienced in Excel and PowerPoint

Act as a frontline representative for the MITG Finance executive office and key partner to the MITG CFO. Represent MITG Finance with the highest level of professionalism in all Medtronic and MITG business activities. Work in the highest confidentiality of critical business matters and ensure data integrity. Daily activities may include interaction with high-level contacts, and exposure to sensitive information requiring use of tact, diplomacy, discretion and judgment. A Day in the Life Responsibilities may include the following and other duties may be assigned. * Provides senior executive administrative support including preparing communications and heavy meeting scheduling. * Strong aptitude of organization/communication tools (Outlook) * Prepare and coordinate the preparation of presentation materials for strategic plan, budget, MFRs and other executive meetings, ensuring professional presentation, completeness and timeliness * Solid proofreading/slide deck presentation development skills, including outlining presentations, strong command of grammar, and consistency of font and formats * Ability to navigate and demonstrate a command over Medtronic resources (be a single source), including where to go for HR, Finance/expenses, IT, Cross functional networking capabilities * Project management/coordination for shared resources (such as HR initiatives that come to the department) * Ability to prioritize items as they come in * Ability to anticipate, and strong meeting coordination among the team * Attend leadership meetings as appropriate and represent leader as needed with stakeholders and their staff * Act as liaison and communication bridge across the MITG Finance team * Schedule and coordinate domestic and international travel, accommodations and logistics, and submitting expenses * Global event coordination skills for conference, offsite and internal event planning as needed including the set up for department routines such as All Hands calls, team meetings and other operating mechanism support as needed, to include WebEx, video-conferencing, conference calls, travel, location, catering, etc. * Coordinate and initiate plans for the monthly/quarterly/annual meetings, as required, including agendas, meeting room reservations, food reservations, presentations, and other duties * Use problem solving techniques, tact and discretion when handling telephone calls, making travel arrangements, scheduling meetings and managing other requests for information * Provide proactive administrative and operations support to MITG Finance executive team as needed to ensure the department runs smoothly * Compile regular status reports from the team to the VP; prepare and distribute regular operating reports and scorecards * Performs various administrative duties including assisting with agendas, recording and distributing meeting minutes as needed. Maintains confidential records, files and report, Internet/Intranet research, setting up new hires, ordering supplies and equipment, photocopying documents, maintain organizational charts and email distribution lists * Acts as an information resource on organizational policies and procedures * Lead and coordinate special projects as directed * Periodically provide assistance to other Executive Assistants in the area; ie: vacation coverage * Screen incoming calls and email correspondence * Manage priorities for all professional commitments of the MITG Finance VP/CFO Must Have: Minimum Requirements * High School Degree or equivalent * Minimum of 6 years of experience; administrative support positions Nice to Have * Bachelor's Degree preferred * Professional * Extension of the MITG Finance team * Authentic and approachable * Can-do attitude ("energy-giver") * Able to build relationships across support function (other EA's) * Strong work ethic/committed * Experience with Microsoft Office Applications, especially Word, PowerPoint and Excel * Experience with electronic meeting coordination (video conference, phone and live-online) * Experience with calendar and travel planning * Attention to detail, accuracy and confidentiality * Organized, efficient, process oriented * Anticipates well and is planful/predictive * Advanced interpersonal communication skills (written & verbal) * Professional and effective telephone techniques and etiquette, able to triage calls when appropriate * Task management and problem-solving skills * Advanced skills and knowledge of the internet * Self-motivated, team player, strong work ethic * Works well under pressure in a dynamic environment; can flex to the meet changing needs * Tactful, exercises independent judgment and discretion – professional demeanor.
