Element has an opportunity for an Administrative Assistant, part time in our Santa Fe Springs, CA Pharmaceutical Laboratory.
Prepares, produces and distributes laboratory reports for review
Provides administrative support
Coordinates the efficient operation of the office by generating and maintaining confidential and general files, ordering supplies, maintaining manuals, and performing all other relevant duties.
Verify shipping and quotation documents
Work with customers and test laboratories to resolve complaints / issues
Coordinate return of customer's samples and remnants as required
Resolve discrepancies on purchase orders regarding quantity, specifications, etc.
Provide information to new customers via phone and email
Direct qualified outside leads / clients to the sales staff for quotations
Relieve supervisors and managers of routine administrative tasks and ensure smooth and efficient day-to-day operation of the department
Assures that all assigned tasks are completed in a timely and efficient manner and that follow-up is done on all administrative details
Performs other related duties as assigned
Skills / Qualifications
Ideally, 1 - 3 years of customer service experience within a laboratory setting
Experience working with testing is a plus
Pharmaceutical testing background preferred
Demonstrate strong organizational skills with the ability to prioritize and complete daily tasks.
Ability to follow instructions, work independently with no supervision, and little or no required follow-up
Ability to function efficiently in high volume, deadline-driven environment; complete projects on schedule
Ability to provide recommendations and guidance related to operational and procedural matters within the department
Intermediate knowledge of MS Office
