This individual will assist the Omaha Language and Culture Preservation Department Director in performing all administrative duties and responsibilities for programs and activities provided at or sponsored by the Department. Primary responsibilities include assisting the Department Director in developing the infrastructure necessary to build a new tribal department.
This will include assisting with directing and monitoring program staff, purchasing materials and supplies, keeping financial records including expenditure reports, and budgets. Initially, the Assistant will order supplies, equipment, office furniture, and have the responsibility of setting up the operations of the business office of the organization. The Assistant will also be responsible for assisting in the preparation of grant proposals and grant applications, planning sessions, and training opportunities.
The Assistant will work closely with tribal programs to collect data and information needed to develop new resources. The Assistant will receive training and oversight in grant preparation, development, and submittal. The Assistant will also receive training in administering assessments of tribal programs and systems and in facilitating a strategic planning process.
ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following: Assist with data collection and information from tribal programs to establish and maintain a tribal data base. Work closely with tribal programs to coordinate services, planning, training, and establishing needs and resources.
Work with tribal programs to develop creative responses to community issues and translate these concepts and related information into written narratives. Develop presentations, fliers, posters and other materials needed for community-based prevention programs and activities. Prepare notices, memos, and other communications, occasionally on short notice.
Coordinate appointments, scheduling, and related communications for clients receiving services. Prepare travel itineraries, make necessary travel arrangements, and complete required travel forms and documents following the Tribe's travel guidelines and policies. Develop purchase orders following the Tribe's established Procurement Policy.
Prepare agendas and take minutes of meetings. Organize and follow-up with correspondence to planning partners or funding sources. Maintain a calendar of planning meetings, training events, or deadlines for grant applications or contracts.
Work with group problem-solving situations and effectively communicates needed change processes with group participants. Assist with record and data keeping and meeting reporting deadlines. Assist with development and implementation of operational plans to assist tribal programs in meeting their goals and objectives.
