Requirements

  • Familiarity with using the internet for research tasks

  • Excellent written, verbal and social communication skills highly desired

  • Track and maintain management systems

  • Must be technically savvy, have experience with social media marketing

  • Microsoft Excel experience

  • At least 1 year of Administrative Assistant experience preferred

VIEW JOBS 11/17/2018 12:00:00 AM 2019-02-15T00:00 Pay Grade 34. The Assistant to the Dean for the College of Engineering and Computer Science provides administrative support for Dean and the College. This position serves as the first point of contact for students, faculty, staff, parents, and other stakeholders via telephone and in person. This position triages student and faculty concerns, referring issues to the appropriate personnel. The Assistant to the Dean provides general support including, but not limited to, the following areas: acting as liaison for the dean and college within the university; preparing meeting agendas and other documents; monitoring budget activity; submitting travel requests; scheduling appointments; organizing and staffing events; managing student workers; and coordinating special events. May serve on a variety of academic committees in a support capacity. Responsibilities include: * Entering timesheets and reconciling monthly and biweekly payroll registers; submitting pay funding changes and personnel change forms; processing payments in IRIS/SAP, tracking and reconciling ledgers. Entering and/or verifying effort certification for released time and pay funding changes per grant/contract budgets. * Submitting reports and closing accounts through Accounting Services with UTC Purchasing. * Working with Facilities and Motor pool for vehicle purchase, registration, maintenance, asset management and vehicle inventory reports. * Providing Dean, Associate Dean and Assistant Dean with recommendations and price comparisons for supply purchases to maximize department budget allocation. * Preparing and processing a high volume of reimbursements in IRIS for student projects, grants, contracts and other similar activities. * Processing invoices for payment via IRIS, UTC Accounting Services and/or College Budget Assistant as applicable. * Ordering supplies, project equipment, food for events, etc. and coding invoices for payment. * Preparing travel requests and Expense Reports in IRIS and coordinate trips in Concur for Dean, Associate Dean, Assistant Dean, and student groups. Coordinating group travel arrangements for students and faculty. Coordinating all aspects of candidate visits including local lodging, transportation, airfare, group meals, etc. * Submitting work orders to UTC Facilities Planning and Management via online system. * Supervising work study students and PT term employee by providing training, work direction, overall office guidance, and assigning duties. * Serving as first point of contact within department by answering telephone and directing visitors. * Assisting with the clerical and supporting needs of the Dean's Office including calendar coordination, drafting agendas, making room reservations, and taking minutes for meetings. * Co-coordinate and assist with college events that directly serve campus, college, and community. * Attending campus trainings to maintain skills for University HR and Accounting functions as well as required trainings for Title IV, Veterans, Disability, Diversity, IT Security, etc. * Distributing email opportunities from outside agencies or UTC Placement office re: job/intern opportunities, scholarships, coop and event announcements to students as needed. * Assisting faculty members with committees, organizations, meetings, documents and arrangements, including: collecting data, creating charts, figures and spread sheets. * Participating on search committees for new staff as the need arises. * Assisting the CECS Scholarship Committee and the UTC Development Office with the provision of data used in making the annual CECS scholarship awards. High school diploma or GED required; Associate's degree or Bachelor's degree preferred. Must have 2-3 years of experience in an administrative office setting. Three or more years of experience in administrative/secretarial work is preferred. Experience in higher education is preferred. Must possess excellent oral and written communication and interpersonal skills. Must have the ability to multi-task and maintain a sense of courtesy and professionalism in high stress situations. Proficiency with Microsoft Office Suite is required. Knowledge of programs specific to higher education such as Banner, IRIS/SAP, and Maxient is preferred. University Of Tennessee Chattanooga TN
