YOUR RESPONSIBILITES - Respond to all calls, requests, emails, regarding on-going projects, maintenance issues, vendors, and sub-contractors

  • Prepare and ensure all work orders are processed and completed

  • Support the Property Managers with all related documents, including contracts, payment requests, invoices, expense and project budget reports, vendor contact information, prepare and distribute project schedules and presentations, and calendar management

Requirements

YOU - Will have a keen eye for detail, maintain organized, and have strong prioritization skills

This position will be part of our team of attorneys, paralegals and support staff providing a high level of service to both internal and external clients. We seek a dynamic, customer oriented professional to provide office-wide support to our attorneys, legal staff and office administrator. ESSENTIAL JOB FUNCTIONS: * Draft, proofread and redline documents, correspondence, forms and memoranda to ensure accuracy * Download references from USPTO website and validate document uploads * Generate docket and client status reports * Manage attorney calendars and meeting coordination * Assist with attorney outlook task creation and other backup docket methods * Process new client/matter forms and conflicts checks and became familiar with records, new business intake systems and other procedures related to client intake and workflow * Manage and coordinate attorney travel including air, hotel, car service and other travel needs * Prepare and reconcile expense reports * Assist with debit notes, check requests, invoice processing, payment confirmation, and proformas * Assist with attorneys' bar, marketing, and other events, including CLE registration and record keeping as needed * Monitor and process bar association memberships * Assist with client/community service & pro bono events, including off site events as needed * Coordinate courier, mail, and messenger deliveries, including assisting attorneys with service and filings with the court * Conduct various types of research * E-mail and e-file maintenance * Scanning/copying, including coordinating with copy services for voluminous or special scanning/copying jobs * Assist with front desk/receptionist coverage, including providing backup support for reception * Assist with office services as needed * Provide back-up support, department and floor coverage assistance as needed * Other projects as assigned KNOWLEDGE/SKILLS REQUIRED: * Must be detail-oriented and organized, able to work independently, prioritize assignments and multitask * Flexible, adaptable to schedule and changing workload requirements * Dependability in attendance and punctuality * Cooperative, enthusiastic, team player * Excellent client service skills * Ability to work in a fast-paced environment, perform well under pressure and able to meet deadlines * Ability to work productively with firm personnel at all levels and with minimal supervision * Must have a strong work ethic, positive can-do attitude and possess the ability to maintain client relations with good oral and written communication skills * Familiar with a variety of state and federal court rules and filing procedures * Proficiency with Microsoft Office Suite (e.g. Word, Excel, PowerPoint, Outlook) and other standard business software including Adobe Acrobat. Must also have the ability to work with a variety of applications and learn new software quickly * Knowledge of internet navigation and search engines to access various government websites and client website workspaces. * Must be flexible with work hours and work overtime as needed * Maintain confidentiality of client information and firm information Preferred Experience: * Four year degree or equivalent; Paralegal certificate from an ABA approved program * Experience working in a law firm or in house legal environment; experience with patent prosecution procedures and litigation. * Prior experience as an administrative assistant supporting multiple professionals * Ability to accurately type 65 wpm * Familiarity with MS Visio, iManage and FoundationIP a plus This is a full-time, regular position with generous benefits.
