About the Job

The Office of Student Involvement (OSI) is charged with providing an engaging, educational, and involved co-curricular experience for UC Merced students. Included in this experience is the Associated Students of the University of California, Merced (ASUCM) student government. The Administrative Assistant is a 20-hour per week position. The Administrative Assistant, under the direction of the Director of Involvement and advisor of ASUCM, assists in providing general administrative support, supervision of undergraduate student employees, and direct support to students and the ASUCM team.

KEY RESPONSIBILITIES

  • General Administrative Support

  • Provides direct support to the Associated Students of UC Merced (ASUCM) Advisor and provides general support to the President and executives of the Associated Students.

  • Manages the ASUCM Office space and responds to student and parent inquiries.

  • Answers main department phone line and handles calls appropriately by providing accurate information or transferring calls as necessary.

  • Sorts and distributes mail; reviews and forwards email inquiries and requests to appropriate staff; and tracks incoming shipments and deliveries.

  • Greets and directs visitors and provides general information to the public on the phone and in person about UC Merced, ASUCM, and Student Affairs.

  • Reserves rooms for ASUCM leaders for meetings.

  • Maintains accurate files and records and utilize databases.

  • Maintains and organizes ASUCM equipment checkout for students.

  • Responsible for inventory and ordering and maintaining ASUCM office supplies.

  • Keeps abreast of unit major on-going business/event items to respond to inquiries in the absence of ASUCM advisor.

  • Types reports, letters, and memos utilizing computers; performs editing and proofing of grammar punctuation and spelling.

  • Assists in content development and layout of various publications and communications.

  • Updates and creates information on ASUCM website and CatLife page.

  • Other administrative duties as assigned.

  • Accounting and Purchasing:

  • Submits purchase requests, travel, and entertainment reimbursements for ASUCM Leadership, ensuring department compliance with applicable UC Policies and procedures.

  • Submits all purchase requests for ASUCM office supplies.

  • Provides vendors with needed information regarding payments and shipments as required.

  • Utilizes computer equipment and technology including spreadsheets and word processing applications.

  • Makes travel arrangements for staff within the Student Government Leadership.

  • Attends regular meetings with the Office of Student Involvement (OSI) Business Team and ASUCM Advisor.

  • Student Supervisor

  • Hiring, training, scheduling, and supervision of student assistants and media specialist.

  • Arranges student support for all ASUCM meetings and events.

  • Trains students on minute taking in meetings.

  • Performs evaluations of student employees.

  • Assists in coordination of ASUCM and Office of Student Involvement student training processes.

  • Cross trains with other administrative staff to provide front desk coverage, student staff supervision and back-up for other administrative functions in the Office of Student Involvement.

Qualifications

EDUCATION and EXPERIENCE

  • High school diploma and 1 year of related experience, or equivalent experience/training. (Required)

CRITICAL KNOWLEDGE AND SKILLS

  • Working knowledge in administrative procedures and processes including word processing, spreadsheet, and database applications.

  • Requires verbal and written communication skills, active listening, critical thinking, multi-task, and time management skills.

  • Working knowledge of student governance organizations in a university setting.

  • Must possess excellent customer service skills and be able to interact effectively with staff, faculty, administrators, students, and the public.

  • Must possess excellent organizational skills, be detail oriented, and have ability to prioritize work and complete assignments independently as well as work in a team environment.

  • Ability to work in a fast-paced work environment and support multiple functions with fluctuating priorities.

  • Demonstrated knowledge of web-based applications and ability to conduct searches on the Internet Experience in computerized accounting systems, maintaining expenditure records, processing invoices, ability to successfully interact with numerous vendors. (Preferred)

  • Maintains complete discretion, confidentiality, sensitivity, diplomacy, and professional judgment.

  • Knowledge of accounting principles and practices.

  • Knowledge of UC Policies and Procedures preferred or experience in a university, K-12, or community college setting.

About the Job The Office of Leadership, Service and Career is charged with providing an engaging, educational, and involved co-curricular experience for UC Merced students. The Assistant Director, Margo F. Souza Student Leadership Center, under the direction of the Associate Director of the Center, supports this mission by working as a key member of the Office of Leadership, Service and Career team to manage the day-to-day operations, programs, and long-range planning for the Margo F. Souza Student Leadership Center. Additionally, as a member of the Office of Leadership, Service and Career team, the Assistant Director supports programmatic and student engagement efforts of the department. The Souza Leadership Center creates leadership programs that encourage students to celebrate and bring every part of their intersecting identities to the table, including gender identity, ethnic identity, personality traits, and all other identities they hold. This includes the management of the Yosemite Leadership Program (YLP). YLP is a partnership program between UC Merced, Yosemite National Park and the National and California State Park systems. The Assistant Director develops and facilitates training and workshops for campus and community partners. The Assistant Director also directly supervises the Souza Leadership Center student staff and is the Advisor to The Souza Leadership Center Student Advisory Board.
