General Information:

The General Education Program office is accepting applications for an administrative assistant. Serves as the first point of contact receptionist for the program, curricular support specialist, office operations manager, and executive support for the Senior Associate Vice Provost. Works closely with the other staff in the Office of the Vice Provost for Faculty Affairs and Curriculum.

Duties and Responsibilities:

Receptionist:

  • Answering phones and emails

promptly and courteously

  • Creating and maintaining electronic

and paper documents

  • Providing accurate information about

the General Education Program

  • Greeting walk-in visitors

Curricular Support Specialist:

  • Working with other offices to schedule

classes and manage enrollment

  • Coordinating annual program updates to

undergraduate catalog and program

publications, print and digital

  • Querying databases, organizing

complex data and preparing reports

  • Stewarding sensitive information and

exercising confidentiality

  • Assisting the area coordinators and faculty committees

Office Operations Manager:

  • Maintaining a high level of

administrative organization and efficiency

  • Managing complex budgets and

monitoring accounts, including monthly

reconciliations, reimbursements. budget

revisions, accounting vouchers, small purchase credit card, agency transaction vouchers, personnel action requests

  • Ordering and purchasing supplies

  • Event planning (e.g., conferences, speakers, workshops)

  • Managing website, social media, and other campus communications

Executive support for the Senior Associate

Vice Provost:

  • Screening and answering calls

  • Managing calendar and scheduling

meetings

  • Preparing correspondence

  • Occasional help with special projects

  • May be required to perform other duties as assigned

Qualifications:

Required Qualifications:

  • High level of professionalism as appropriate to an executive

office

  • Sound judgment in prioritizing multiple responsibilities and

meeting deadlines

  • Proven ability to function independently and proactively in a

collaborative, complex and constantly changing environment.

  • High level of professionalism as appropriate to an executive

office in Academic Affairs.

  • Sound judgment in prioritizing multiple responsibilities and

meeting deadlines

  • Proven ability to function independently and proactively in a

collaborative, complex and constantly changing environment.

  • Excellent organizational, quantitative, written and verbal

skills

  • Fluency in Microsoft office suite, fluency and/or willingness to train in PeopleSoft Student Administration system, eVA purchasing system, Chrome River, Cascade
