Overview

Human Solutions, Division Oasis Systems, has an exciting opportunity for an Administrative Assistant. The Administrative Assistant provides expertise in general clerical, secretarial, receptionist, word processing, filing and record keeping, and non-complex analysis. The ideal candidate is proficient in Microsoft Office and other general-purpose business management software, etc. They perform administrative and management support services for a wide range of office functions. In addition, they provide administrative support in the management of personnel, financial, operations and technical programs. This position requires substantial coordination and interfacing with other offices. The Administrative Assistant works independently with minimal or no supervision. The ideal candidate must possess the ability to apply techniques peculiar to several unrelated functions, such as statistical charting, property management of Government Furnished Equipment (GFE), organizational structure, planning, budget and fiscal control, personnel recruitment and placement, data systems, staffing standards development, and office management.

REQUIRED QUALIFICATIONS: (Education, Certifications, Experience, Skills) This candidate must have experience with the following:

EXPERIENCE LEVEL: 210 years of related work experience

EDUCATION: Bachelor of Arts/Sciences Degree with 2 years of related experience, or an Associate of Arts/Science degree and 5 years of related experience, or 10 years of related experience in business/financial operations and scheduling is required

CERTIFICATIONS AND TOOLS:

SECURITY CLEARANCE: Ability to obtain a Public Trust Security Clearance

  • Self-motivated, independent thinker that requires minimal supervision

  • Ideal candidate is a customer-service oriented problem solver with the ability to work independently and as part of diverse teams

  • Excellent people skillsable to work with teams of varying sizes, technical abilities, and levels of authority with both internal corporate staff and teammates. An ability to work with many personality types and style preferences at the same time and help provide a constructive work environment.

  • Exceptional oral and written communication skills, organizational, critical thinking and analysis, meeting facilitation, and interpersonal skills are essential

  • Must be flexible in adapting to deadlines and changing priorities, has a pro-active attitude and a disciplined work ethic. A demonstrated flexibility of schedule and ability to handle last minute, short turnaround items. This includes an ability to quickly assess a situation or deliverable and then implement the most beneficial changes possible in the available time.

  • The ability to rebound and adapt quickly to sudden changes in deliverable requirements or deliverable expectations.

  • Thorough, detail oriented, and organized, with excellent time management skills and ability to prioritize and handle multiple projects at once.

  • Proficiency in Microsoft Office Suite products.

PREFERRED:

  • Prior FAA work experience.

JOB RESPONSIBILITIES: Functionally, the successful candidate will:

  • Work independently with minimal or no supervision.

  • Provide expertise in general clerical, secretarial, receptionist, word processing, filing, and record-keeping tasks.

  • Perform administrative and management support services for a wide range of office functions.

  • Provide administrative support in the management of personnel, financial, operations, and technical programs.

  • Provide administrative support for group functions, sessions, and workshops.

  • Arrange employee gatherings, such as retirement parties, holiday events, etc.

  • Coordinate and interface with other offices.

  • Assist in other functions, such as planning, budget and fiscal control; personnel recruitment and placement; data systems; staffing standards development; and office management. Other duties may include proofreading documents; coordinating meetings; coordinating teleconferences; developing agendas; developing conference room requirements and scheduling requirements; documenting meeting minutes and action items; planning, processing and coordinating travel logistics; designing and printing charts and posters depicting organizational structure and matrices; assisting in the development, maintenance, and standardization of Web sites; creating documents, spreadsheets, and presentations; and providing logistical support when needed.

  • Monitor and manage payroll in CASTLE system.

  • Answer phone and direct calls. Deliver important messages to managers and employees.

  • Assist the Director and Deputy Director's front office when needed.

  • Arrange travel and submit travel vouchers for managers and employees.

  • Track Safety Risk Management documents.

  • Update the Operations Support directory in Knowledge Services Network (KSN).

  • Assist guests with VTC setup and troubleshooting in conference rooms.

  • Add and delete employees from FAA emailing lists.

  • Manage eTravel Modification Profile Request for organization changes.

  • Create Routing Pool forms to modify and add approvers.

  • Ensure that multiple memos are gridded and signed by the appropriate parties.

  • Receive mail and deliver to employees.

  • Review and approve travel requests in E2, the system used for Government travel.
